About the role

Community Food Share is seeking a PEO & Payroll Supervisor to oversee payroll, time off and benefits, onboarding, compliance, and serve as the main point of contact with AdvanStaff, our Professional Employer Organization (PEO).

Responsibilities

  • People Operations & PEO Liaison
    • Serve as the primary day-to-day contact between Community Food Share and the PEO
    • Support Community Food Share team members with PEO needs
    • Ensure timely, accurate, and high-quality execution of payroll, benefits, and HR processes
    • Escalate complex issues and trends to leadership as appropriate
    • Translate policies, processes, and systems into clear, accessible information for employees
    • Maintain a high level of discretion, professionalism, and accountability
  • Payroll & Benefits Coordination
    • Own payroll coordination with the PEO, including collecting, validating, and submitting data
    • Review payroll reports for accuracy and ensure timely processing
    • Partner with the Director of Finance and PEO to resolve discrepancies
    • Support the tracking of time off benefits and employee understanding of available offerings
    • Communicate payroll timelines, expectations, and updates across the organization
    • Protect the private information of team members with utmost integrity
  • Compliance, Reporting & PEO Systems Management
    • Coordinate PEO onboarding for new hires and follow up on system setup and benefits enrollment
    • Support supervisors in employee transitions (resignations, terminations) ensuring the PEO transition is completed and offboarding actions are completed
    • Order DiSc profile for new or promoted team members
    • Maintain accurate employee records
    • Track required trainings, certifications, and acknowledgments
    • Support audits and compliance reporting with strong attention to detail
    • Generate and share reports (e.g., headcount, turnover) to support leadership decision-making
    • Identify opportunities to improve workflows, systems, and documentation
  • Administrative & Finance Operations Support
    • Responsible for I-9 maintenance and annual audit
    • Responsible for UI submission upon the departure of a team member
    • Responsible for annual simple IRA enrollment
    • Responsible for coordinating annual benefits open enrollment meetings
    • Support performance review and incentive program administration
    • Process incoming mail, including tracking and documenting mailed donations
    • Auxiliary with accounts payable processes, including vendor setup, W-9 collection, and bill.com coordination
    • Cook credit card receipt collection and reconciliation
    • Auxiliary with quarterly sales tax submissions
    • Provide general administrative support as needed
  • Travel
    • Travel locally in service area may be required, as well as occasional overnight travel for events and conferences.

    Qualifications & Skills

    • Experience in payroll, administration support, or related fields—or a combination of lived and professional experience that demonstrates the ability to perform the role
    • Experience working with a PEO or HR/payroll systems strongly preferred
    • Demonstrated ability to manage processes independently and follow through on complex, detail-oriented work
    • Strong organizational and time management skills
    • Comfort working with HR/payroll systems and Microsoft Office tools

    • The position is a part-time role working 24 hours per week (3 days per week). Physical demands include sitting for long periods, reaching with hands and arms, bending, kneeling, crouching, crawling, pushing, pulling, stooping, climbing stairs and ladders, balancing, walking for extended periods of time; using hands to finger, grasp, handle, or feel; reaching with hands and arms above the shoulder; being able to talk; and hearing with or without aid. The employee may occasionally lift, leverage, and/or move up to 50 pounds repetitively.

    • Pay for this position starts between $31.25 to $33.65 per hour. Community Food Share offers a rich suite of benefits for its part-time employees, including:
      • Up to 20 paid vacation days per year with annual rollover, prorated based on hours worked
      • Up to 10 paid Holidays prorated based on scheduled days and hours worked in work week
      • Up to 10 paid sick days per year prorated based on hours worked in work week
      • 1 personal day per year – 8 hours prorated based on hours worked in the week – must be used as one workday
      • Up to 8 hours of paid volunteer time per year prorated based on hours worked in work week
      • Up to 5 days paid bereavement time prorated based on hours worked in work week
      • Matched SIMPLE IRA vested at 100% from day 1
      • 100% company paid Colorado FAMLI leave premium
      • Semi-Annual Incentive Award based on performance prorated for start date
