Job Summary

Perform detailed quarterly payroll tax reconciliations for Federal, State, OASDI, Medicare, and applicable local taxes.

Validate gross-to-net payroll accuracy and investigate payroll, tax, and deduction discrepancies.

Review year-end payroll adjustments to ensure compliance with IRS regulations and proper quarter application.

Responsibilities

  • Conduct W-2 review and verification, including reconciliation of all wage and tax reporting.
  • Identify and correct discrepancies before year-end processing, coordinating with district payroll teams.
  • Prepare and validate payroll tax reporting files for State and Federal agencies, including EFW2/MMREF submissions.
  • Troubleshoot reporting errors and ensure timely, accurate tax filing acceptance.
  • Participate in district support and payroll training, conducting reviews, documentation walkthroughs, and user training sessions.
  • Provide exceptional customer service while supporting multiple payroll teams during quarterly close and year-end payroll processing.
  • Support retirement and voluntary deduction setups, verify deduction limits, resolve compliance issues, and assist with correction processing.
  • Audit overtime calculations for compliance with bargaining agreements and FLSA requirements.

Requirements

  • 5+ years of payroll processing, payroll tax, or payroll reconciliation experience.
  • Strong experience with quarter-end and year-end payroll balancing.
  • Experience reviewing W-2s, payroll tax reporting, and payroll compliance.
  • Knowledge of Federal and State payroll tax regulations.
  • Familiarity with FLSA requirements and retirement plans including 403(b), 457, and TSA deductions.
  • Experience preparing payroll tax files for State and Federal reporting.
  • Advanced Microsoft Excel skills, including data analysis and reconciliation.
  • Excellent analytical, organizational, and problem-solving abilities.
  • Strong communication and presentation skills with the ability to train and support end users.
  • Experience supporting multiple entities, school districts, or large organizations is highly preferred.
