Payroll Specialist Finance
Full-time, non-exempt position at the Administrative Regional Training Center. Work schedule is primarily 8 AM–4 PM on weekdays, with occasional evenings and weekends as needed.
About the role
The Payroll Specialist handles all aspects of processing Catholic Health payroll to ensure timely and accurate payment of wages for designated facilities. This role requires advanced payroll knowledge and strict adherence to deadlines, policies, and procedures. The specialist maintains expertise in Catholic Health pay practices, benefits, and state/federal wage guidelines, and processes federal/state tax payments, quarterly payroll tax returns, and W-2s. The position serves as a liaison for managers and associates on payroll matters, working closely with the Human Resources Service Center to address payroll-related inquiries. Additional duties include reconciling payroll deductions, adjustments, electronic transmissions, and calculating disability/workers’ compensation. Responsibilities may also involve setting up Positive Pay, IVR profiles, and percent allocation.
Responsibilities
- Process payroll for designated facilities, ensuring accuracy and timeliness.
- Apply advanced payroll knowledge to meet strict deadlines.
- Maintain working knowledge of Lawson Payroll system, Kronos Time and Attendance, and Perceptive/Image Now.
- Process federal/state tax payments, quarterly payroll tax returns, and W-2s.
- Serve as a liaison for managers and associates on payroll matters.
- Reconcile payroll deductions, adjustments, and electronic transmissions.
- Calculate disability and workers’ compensation.
- Set up Positive Pay, IVR profiles, and percent allocation as needed.
- Adhere to Catholic Health policies, procedures, and wage guidelines.
Requirements
- Associate’s degree in Business Administration or related field (or five years of experience in lieu of degree).
- Minimum of 2–4 years of payroll experience, preferably in a healthcare system.
- Experience managing in-house payroll functions preferred.
- Excellent knowledge of federal and New York State wage/hour laws and regulatory requirements.
- Strong problem analysis and resolution skills.
- Proficiency in Microsoft Excel and Word.
- Experience with Kronos Time and Attendance System preferred.
- Experience with Enterprise Resource Planning (ERP) systems preferred.
- Ability to plan and manage multiple projects in a team-based environment.
- Strong attention to detail, accuracy, communication, and customer service skills.
Working Conditions
- Office setting with some local travel to other Catholic Health facilities.
- Extended work hours required during critical payroll processing periods, including holiday pay weeks.
