About The Role

The Payroll Manager at Habitat Health is a vital role responsible for the end-to-end management of the organization's payroll functions. This position serves as the primary owner of all payroll processes, ensuring accurate, compliant, and timely compensation for all employees. The Payroll Manager operates at the intersection of Finance, Human Resources, and Compliance, working collaboratively across departments to align payroll practices with organizational goals and regulatory requirements. The role involves overseeing the entire payroll cycle, managing tax filings, resolving employee inquiries, and continuously improving payroll workflows. The ideal candidate will possess strong technical skills, attention to detail, and experience managing payroll for a diverse workforce across multiple states, including California and Illinois. Qualifications

  • Bachelor's degree in Accounting, Finance, Business Administration, Human Resources, or a related field
  • 2-5 years of progressive payroll management experience
  • Experience processing payroll for 200+ employees across multiple states, including California and Illinois
  • Prior experience in a standalone or lead payroll role preferred
  • Minimum of 2 years of hands-on experience administering payroll in Rippling or similar small workforce management platforms, including system configuration, pay group management, tax settings, and workflow automation
  • Experience with additional platforms such as ADP, Paylocity, Workday, etc., including payroll system implementation and employee training is a plus
  • Advanced skills in payroll reconciliation, data analysis, VLOOKUP, pivot tables, and related tools
  • Understanding of how payroll systems connect with benefits carriers, time & attendance systems, and general ledger platforms
  • CPP (Certified Payroll Professional) designation preferred; FPC (Fundamental Payroll Certification) considered

Responsibilities

  • Own and execute full-cycle payroll processing for all employee types, including salaried, hourly, and contractors, ensuring timely and accurate disbursements
  • Review and reconcile pre-payroll reports, investigate discrepancies, and resolve issues prior to payroll submission
  • Process off-cycle payrolls, manual checks, and retroactive adjustments as needed
  • Manage final pay calculations for terminated employees in compliance with state laws and deadlines
  • Serve as the first point of contact for employee payroll inquiries, resolving issues related to pay stubs, direct deposits, tax withholdings, and self-service system features
  • Manage tax filings and remittances, including quarterly 941s, annual W-2s, 1099s, and relevant state/local filings
  • Configure and optimize automated payroll workflows and approval processes to reduce manual intervention and errors
  • Participate in HR and Finance system projects, including system implementations, upgrades, and cross-functional initiatives
  • Document payroll processes, internal controls, and procedures to ensure consistency and support business continuity
  • Coordinate with HR/Benefits teams to ensure accurate deductions for benefits such as medical, dental, vision, 401(k), HSA/FSA, and other voluntary plans
  • Provide payroll data to support budgeting, forecasting, accounting, and financial planning activities
