About the Role
The Patient Scheduling Representative manages appointment coordination to ensure a smooth patient experience across multiple departments, including imaging, labs, clinics, and treatments. They handle scheduling, rescheduling, cancellations, patient registration, and referral processing, often working in a call center or outpatient setting.
Responsibilities
- Respond to high call volume, accurately schedule and confirm appointments, and communicate schedule changes effectively.
- Register patients, verify insurance, and manage documentation such as medical records and referrals.
- Coordinate scheduling of procedures, treatments, and ancillary services, ensuring optimal utilization and adherence to guidelines.
- Maintain patient charts, prepare schedules, and perform reminder calls.
- Build strong relationships with providers and clinical teams, advocating for patient needs and ensuring care continuity.
- Train new staff, participate in educational activities, and ensure compliance with regulations and protocols.
- Utilize scheduling systems and EMR tools like EPIC, managing workqueues and prioritizing requests.
Requirements
- High school diploma or GED; healthcare experience or prior scheduling role preferred.
- Proficiency with EMR systems (e.g., EPIC), computer skills, and exceptional customer service abilities.
- Ability to communicate effectively, problem-solve, and work collaboratively across departments.
- Bilingual skills are a plus, with documented language proficiency.
