About the Role
The Patient Access Supervisor provides leadership and guidance to Patient Access Staff and assists the Patient Access Manager in the day-to-day operations of the department. This role oversees all Patient Access practices, ensures smooth scheduling of office visits, and serves as backup to the Patient Access Managers. The department is based in North Tampa with remote staff, and the supervisor is responsible for resolving escalated customer concerns and communicating feedback to the Patient Access Manager.
Responsibilities
- Oversees all aspects of Scheduling Staff and reports directly to Patient Access Managers.
- Coordinates efforts with other Patient Access Supervisors daily between dedicated staff and responsibilities.
- Acts as a subject matter expert for all systems, policies, and standards of procedures for their dedicated area of expertise.
- Monitors daily staff activities, productivity, and statistics daily and monthly; completes statistical reports as assigned.
- Monitors the volume of work to ensure even distribution among Patient Access staff.
- Authorizes and monitors staff PTO requests to ensure proper coverage.
- Monitors and corrects staff timecards for missed punches.
- Completes and presents Patient Access staff’s 30, 60, 90, and annual evaluations.
- Counsels and performs disciplinary actions with staff members.
- Oversees staff’s attendance, lunches, and breaks.
- Ensures staff meet daily goals for their assigned positions.
- Ensures patients and clinic staff are informed of any delays in service for the next day due to scheduling or authorization issues.
- Ensures staff follow FOI policy and procedures.
- Keeps the Patient Access Manager informed of any issues or problems requiring further attention.
- Coordinates staff training with the Patient Access Trainer.
- Ensures staff receive initial, refresher, and ongoing training as necessary.
- Orders departmental supplies when needed.
- Supports inbound calls as needed.
- Creates and maintains policy and procedures for the Patient Access Department.
- Develops “How To” documents for the Patient Access Department.
- Provides motivation to Patient Access Representatives.
- Holds monthly meetings or huddles for Patient Access staff as necessary.
- Performs all other duties as assigned.
Requirements
- High School Diploma (Associate’s Degree preferred).
- 3+ years of healthcare experience.
- Strong multitasking, organizational, and self-motivation skills.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office products and strong computer skills.
- Position is remote but requires the ability to work in-office when needed.
