About the role
The patient access representative registers, schedules, and performs related processing duties for all patients being served by the clinic. Duties are performed in the EMR system. The role involves a wide range of skilled administrative and clerical tasks.
Reports directly to the Practice Manager.
Responsibilities
- Answers phone with correct salutation and takes messages when appropriate.
- Documents all messages into the electronic EMR.
- Greets each patient warmly and cheerfully.
- Verifies patient information, demographics, and insurance coverage; updates information in the EMR as needed.
- Checks in and checks out patients in the EMR system.
- Updates and scans forms into the EMR system.
- Generates a “No Show” letter in the patient chart for missed appointments.
- Scans and attaches paperwork received into the EMR system.
- Collects faxes, scans them into the EMR, and distributes appropriately.
- Collects patient co-pay and prior balances, posts to account, and provides receipts.
- Pulls orders from the checkout function in the EMR.
- Schedules return appointments and testing after obtaining precertification per provider orders.
- Completes and sends medical records requests per provider orders.
- Completes referrals through the EMR following correct protocol.
- Runs and reconciles receipts following established protocol.
- Verifies insurance and completes deposit slips and end-of-day reports to balance upfront collections.
- Performs other job duties as assigned.
Requirements
- High school diploma or equivalent required.
- Knowledge and training in medical terminology, keyboarding, and computer skills preferred.
- Basic skills in Microsoft Office preferred.
- Previous experience in scheduling preferred.
- Computer literacy required.
- Broad range of administrative and technical skills in a healthcare environment.
- Ability to work independently and make decisions based on departmental policy.
- Strong listening skills to maintain cooperative associations.
- Demonstrates critical thinking and documents detailed information in patient charts.
- Works well with others and provides feedback to assist in decision-making.
Physical Demands
- Work requires a variety of physical activities, including moving about within and outside hospital properties for long periods.
- Must be able to respond quickly and effectively to emergency and non-emergent situations.
- May be required to assist in controlling disorderly conduct or combative patients.
- Must be able to exchange accurate information with patients, families, peers, and medical personnel.
