About the Role
The Patient Access Representative (PAR) PRN greets patients and performs patient access functions to expedite patient flow and enhance the patient experience. This role is responsible for the registration of all patients accessing services at JPS Health Network, with an emphasis on patient access and satisfaction, insurance and demographic verification, and point-of-service collection. The PAR PRN maintains confidentiality, professionalism, and ethics continuously.
Responsibilities
- Greets and directs patients and visitors in person and over the phone using AIDET principles.
- Provides information regarding services, JPS location details, and additional assistance as required.
- Accurately identifies and registers patients while maintaining regulatory and functional knowledge of all required information to ensure timely and accurate reporting and billing.
- Explains and secures consent for registration forms, including general consent, MSPQ, notice of privacy practices, patient rights and responsibilities, and MyChart enrollment.
- Distributes patient-related materials and obtains signatures on insurance waivers and financial forms, such as Estimate Letters.
- Collects patient-owed cost-sharing amounts (copays, deductibles, coinsurance, full costs for non-covered/self-pay) in accordance with Standard Operating Procedure and refers patients to Enrollment and Eligibility when applicable.
- Reconciles cash drawer at the end of each shift.
- Acquires precertification status for applicable services, such as in-office procedures, inpatient/outpatient surgeries, outpatient radiology and cardiology tests, physician services, or pharmacy services.
- Utilizes insurance verification tools to accurately verify patients’ insurance and financial information, maintaining an error rate in accordance with Standard Operating Procedure.
- Coordinates and schedules appointments, selects appropriate referrals, providers, visit types, and locations to expedite patient access to care, minimize "no shows," and maximize reimbursement.
- Maintains daily Epic work queue, quality assurance, and established productivity levels with minimal errors (e.g., daily in-basket review, telephone encounters, reporting, and cash balancing).
- Complies with JPS Health Network’s attendance and punctuality procedures and may be required to work beyond normal scheduled shifts.
- Attends all mandatory educational, compliance, and safety program sessions.
- Assists in staff training of peers, colleagues, and management as applicable or requested.
- Demonstrates the importance of satisfying patient and customer needs through friendly, attentive, and caring interactions, maintaining communication to provide a secure and pleasant experience.

Requirements
- High School Diploma, GED, or equivalent.
- 1+ years of relevant work experience or 3-5+ years of relevant work experience.
- 1+ year of experience using Microsoft Professional Office Suite, including Word, Excel, and Outlook.
- Completion of Patient Access - General Consent Orientation and Patient Financial Experience Training within 30 days of hire if assigned to specific areas (e.g., Patient Access ED, Urgent Care, Specialty, Business Services, Main Admissions, Women’s Health).
Preferred Qualifications
- 1+ year of experience in a Patient Access or Patient Accounting role.
- Certified Healthcare Access Associate (CHAA).
- Bilingual in Spanish, Vietnamese, Arabic, or other languages.
