About the Role
Under the direction of the Admitting Manager, the Patient Access Representative is responsible for interviewing incoming patients (inpatient, outpatient, and emergency department) to obtain all pertinent data for admission and produce a complete and accurate admission record. This includes medical record information, as well as demographic and financial related information. The representative answers inquiries related to admissions, collects deposits or payments, interacts with nursing units and ancillary departments, and provides directions to various areas within the hospital.
Responsibilities
- Acknowledge patients or guests and their requests promptly, cordially, and completely.
- Make patients’ needs the first priority; exhibit concern, tact, and discretion in all working relationships.
- Obtain all patient-related information to produce a complete and accurate patient admission record, including:
- Choosing the correct medical record numbers.
- Gathering current patient data, photocopying insurance cards, identification cards, and other pertinent information.
- Obtaining authorization and signatures on all appropriate forms.
- Ensuring accurate insurance and demographic information to create an accurate patient account record.
- Speak with patients regarding their financial responsibility for the bill. Collect deposits on all self-paying patients and co-payments from patients whose insurance requires one. If the patient is unable to meet their financial obligation, discuss the hospital’s requirements and make financial arrangements, including completing a promissory note when necessary.
- Document any financial arrangements in the patient’s account notes and notify the Admitting Manager or Business Office Manager of problem accounts requiring special attention.
- Complete the patient’s electronic medical record and ensure all appropriate paperwork is sent to the proper destination in a timely fashion.
- Obtain Advance Directive information from inpatient, ER, OPS, and bed patients, ensuring accurate data entry in the computer and on the Conditions of Admission form.
- Understand and clearly explain the Consent form, Advance Directive, and any other required forms to patients before obtaining their signature.
- Meet department productivity goals, including registering a minimum of 20 patients per shift and performing registrations within the department standard of 20 minutes. Maintain an account accuracy rate of no less than 80%.
- Complete and print shift logs in the Emergency Department.
- Perform, understand, and demonstrate ability in all designated courses within 90 days of hire for new employees, and within 1 year of 02/12/2018 for current employees. Current employees must successfully pass a competency test every two years from the original completion date.
- Remain informed and compliant with HIPAA, EMTALA, the Fair Debt and Collection Practices Act, Medicare Secondary Payer, and other laws and regulations governing Patient Financial Services.
- Stay informed regarding all PPO, HMO, Medicare, Medi-Cal, and indigent service programs and requirements for timely processing of claims.
- Promote unity and teamwork among co-workers and other departments.
- Handle all confidential information appropriately, both at work and away from the facility.
- Demonstrate awareness and sensitivity to the rights of patients and significant others.
- Maintain professional appearance in dress, grooming, and hygiene.
- Function with an awareness of safety issues and report unsafe conditions appropriately.
- Assist in the training of new employees.
- Be cross-trained and able to work in all areas, including Inpatient, Outpatient, Bed Board, and Emergency Room.
- Be familiar with the hospital layout to direct patients or guests to the proper destination.
- Be physically able to push a wheelchair and comfortable working with sick patients, able to summon medical assistance when needed.
- Be willing to meet staffing needs, including working overtime, holidays, and shift changes.
- Closely monitor patient valuables in accordance with hospital policy and procedure.
- Uphold the highest service standards regarding patient care.
- Perform various other duties as assigned.
- Must be BLS certified annually.
Requirements
- High school diploma or equivalent.
- Minimum of 2 years of customer service experience.
- Must be BLS certified or obtain certification within 30 days of hire.
- M.A.B. certification required within 6 months of hire.
Pay
The hourly salary range for this position is $25.75 - $34.65. Schedule
- Per Diem, 8-hour day shifts (7:00 AM to 3:30 PM).
- Must be available to work overtime, holidays, and shift changes as needed to meet department staffing needs.
