Schedule

  • Two shifts per week (9:00 AM – 9:30 PM) with the opportunity to pick up additional shifts.
  • Flexible scheduling with a 6-week self-schedule system allowing employees to choose their own shifts, following guidelines reviewed during orientation.

About the Role

The Patient Access Advocate is responsible for greeting patients with a smile, answering phones, entering information into electronic health records, and performing general clerical duties. This role requires maintaining a pleasant, professional demeanor to ensure patients always feel welcome. If you have customer/patient-facing experience in a service role and want to transition into healthcare, our leadership team will provide direct training and support to build your confidence.

Responsibilities

  • Greet patients in a friendly, courteous, and professional manner both in person and over the phone.
  • Perform patient check-ins and check-outs, including collecting payments and completing follow-up activities for patient care.
  • Verify insurance eligibility and benefits using online systems or direct contact with payers; collect copayments, coinsurance, and deductibles.
  • Assist with clerical duties such as copying, scanning, faxing documents, and maintaining patient files.
  • Answer and screen phone calls, direct messages, and provide callers with company information (e.g., address, directions, fax numbers, website).
  • Ensure all paperwork is completed accurately and maintain a clean, presentable front desk, waiting room, and children’s play area.
  • Perform light housekeeping duties such as emptying trash, vacuuming, mopping floors, and cleaning counters.
  • Foster a friendly, respectful, and customer-focused work environment to encourage patient retention.
  • Adhere to all HIPAA policies and procedures as well as company policies.
  • Confirm account information is accurate to ensure clean billing.
  • Attend staff meetings and huddles as required.

Requirements

  • Minimum typing speed of 50 words per minute.
  • High school diploma or GED.
  • Minimum of 6 months of work experience in a healthcare setting or one year of customer service experience.
  • Basic knowledge of Microsoft Office products (Word, Excel, Outlook).
  • Basic understanding of insurance, medical terminology, and billing codes (e.g., DRG, ICD-10, CPT, HCPCS) preferred.
  • Exceptional communication and customer service skills.
  • Ability to read, comprehend, and write simple instructions and correspondence.
  • Basic math skills (addition, subtraction, multiplication, division).
  • Ability to follow detailed written or oral instructions and handle standardized situations.
  • Ability to work independently, manage multiple tasks, and prioritize demands effectively.
  • Analytical and problem-solving skills, including conflict management and knowing when to seek supervisor assistance.
  • Familiarity with general office equipment (telephones, photocopiers, scanners, credit card machines, fax).
  • Solid work history with a focus on productivity and attendance at required meetings.

Physical Demands

  • Standing, walking, use of hands, reaching, sitting, talking, and listening.
  • May require lifting up to 10 pounds.
  • No special vision requirements.

Work Environment

  • Operates in a healthcare setting with potential exposure to contagious illnesses or diseases.
  • Routine use of standard office equipment (telephones, computers, photocopiers, calculators, filing cabinets).
  • Moderate noise exposure.
