Position Overview

We are seeking a highly organized and detail-oriented Transportation Coordinator to support daily logistics, dispatch, and administrative operations. This role is critical to ensure efficient yard operations, on-time deliveries, and compliance with DOT regulations. The ideal candidate thrives in a fast-paced environment, communicates effectively with drivers and vendors, and maintains accuracy in scheduling, payroll, and billing processes.

Key Responsibilities

  • Plan and coordinate daily dispatches for drivers to ensure on-time deliveries
  • Schedule and manage: Local vendor pickups, Inbound vendor freight, Store deliveries, Drayage (rail yard to distribution center)
  • Accept load tenders and coordinate freight with customers and vendors
  • Maintain accuracy in scheduling, payroll, and billing processes
  • Communicate daily with drivers, yard personnel, and customers
  • Monitor driver arrival/departure times and update ETAs in system
  • Monitor driver logs and hours of service (HOS) for DOT compliance
  • Track driver availability and pre-plan routes and assignments
  • Support safety initiatives and ensure operational efficiency

Administrative & Financial Support

  • Enter and process payroll, including accessorial pay
  • Maintain accurate mileage and operational records
  • Allocate charges and process billing/invoicing for: Store deliveries, Drayage, Traffic/load shipments
  • Prepare daily and weekly reports (shift reports, trailer schedules, etc.)

Additional Duties

  • Monitor fuel inventory and assist with ordering
  • Auxiliary in new hire paperwork and onboarding tasks
  • Participate in after-hours and weekend on-call rotation

Qualifications

  • High School Diploma or equivalent required
  • Prior experience in transportation, logistics, or dispatching preferred
  • Knowledge of DOT regulations strongly preferred

Requirements

  • Valid Class C Driver’s License
  • Ability to pass drug and alcohol screening
  • Verifiable work history
  • Reliable transportation

  • Ability to meet deadlines in a fast-paced environment
  • Proficiency in Microsoft Office (Excel, Word, Email)
  • Strong data entry accuracy and attention to detail
  • Effective communication and professional phone etiquette
  • Ability to work flexible schedules, including evenings and weekends

Physical Requirements

  • Periodic walking in warehouse/yard environments
  • Prolonged sitting and computer use
  • Frequent phone communication
  • Occasional lifting (up to 50 lbs.)
  • Ability to bend, twist, crouch, and move as needed
