About the role
The City of Germantown seeks a Contract Administrator to support the procurement and contract management processes.
Responsibilities
- Assist Procurement staff with maintaining a product/service database
- Verify contractor compliance with required insurance coverage and other contract provisions
- Notify departments of contract renewal dates, changes, terminations, and extensions
- Analyze contracts for compliance with policies and procedures
- Resolve issues of non-compliance and ensure timely payments to contractors
- Maintain file system and prepare/retrieve documents
- Contact vendors for price quotes and document comparisons
- Prepare bid tabulations and analysis sheets
- Provide assistance to user departments and explain the City's contracting process
- Process third-party insurance claims
- Perform general/clerical tasks as needed
Requirements
- One to three years' experience in purchasing or contract management
- Knowledge of pertinent Federal, State, and City ordinances, laws, codes, and regulations governing municipal procurement
- Ability to operate calculators, computers, and necessary software applications
- Ability to write clear bid specifications and evaluate vendor bids
- Ability to prioritize and analyze data, and interpret instructions
- Ability to add, subtract, multiply, divide, calculate decimals and percentages, interpret graphs, and apply principles of fractions
- Ability to exercise judgment, decisiveness, and creativity in evaluating information against criteria
