About the role

The City of Germantown seeks a Contract Administrator to support the procurement and contract management processes.

Responsibilities

  • Assist Procurement staff with maintaining a product/service database
  • Verify contractor compliance with required insurance coverage and other contract provisions
  • Notify departments of contract renewal dates, changes, terminations, and extensions
  • Analyze contracts for compliance with policies and procedures
  • Resolve issues of non-compliance and ensure timely payments to contractors
  • Maintain file system and prepare/retrieve documents
  • Contact vendors for price quotes and document comparisons
  • Prepare bid tabulations and analysis sheets
  • Provide assistance to user departments and explain the City's contracting process
  • Process third-party insurance claims
  • Perform general/clerical tasks as needed

Requirements

  • One to three years' experience in purchasing or contract management
  • Knowledge of pertinent Federal, State, and City ordinances, laws, codes, and regulations governing municipal procurement
  • Ability to operate calculators, computers, and necessary software applications
  • Ability to write clear bid specifications and evaluate vendor bids
  • Ability to prioritize and analyze data, and interpret instructions
  • Ability to add, subtract, multiply, divide, calculate decimals and percentages, interpret graphs, and apply principles of fractions
  • Ability to exercise judgment, decisiveness, and creativity in evaluating information against criteria
