About the Role
The Part-Time, Bi-Lingual Office Manager ensures the smooth day-to-day operation of the office by managing administrative functions, supporting staff, coordinating office procedures, maintaining records, and serving as a key point of contact for vendors, customers, and employees. The ideal candidate is highly organized, detail-oriented, and capable of handling multiple responsibilities in a professional and efficient manner.
Responsibilities
- Office Administration
- Oversee daily office operations, administrative procedures, and scheduling.
- Maintain office supplies and place orders as needed.
- Coordinate office maintenance and vendor services.
- Manage incoming emails, mail, and general correspondence.
- Organize and maintain office filing systems, both physical and electronic.
- Financial and Recordkeeping Support
- Assist with invoicing, accounts payable, and accounts receivable.
- Reconcile expenses and maintain financial records.
- Support bookkeeping activities and coordinate with external accountants or payroll providers.
- Prepare reports and maintain accurate documentation.
- Customer and Vendor Relations
- Coordinate meetings, appointments, and office events.
- Address routine inquiries and escalate issues when appropriate.
- Operational Support
- Develop and improve office procedures and workflows.
- Ensure compliance with company policies and administrative standards.
- Support special projects and additional duties assigned by management.
Requirements
- High school diploma or equivalent.
- 2+ years of office administration, office management, or related experience.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.

- Associate's or bachelor's degree in business administration or related field.
