Responsibilities
- Assist with overall clerical and administrative functions including handling mail, timekeeping, scanning, photocopying and scheduling appointments and meetings.
- Responsible for case record filing and maintenance; preparing of open and closed files.
- Maintain supplies; handle purchasing requests.
- Maintain accounts payable and accounts receivable.
- Reconcile purchase card and petty cash accounts; expense reimbursement requests, metro card requests.
- Establish, maintain and revise record keeping and filing systems.
- Provide casework support for concrete case management tasks, e.g. rent arrears, utility shut off, furniture assistance for families as needed.
- Gather assessment of financial resources for families as needed.
- Gather resources for clients (i.e. camps, vocational/alternative school settings, housing information, recreational activities, etc.).
- Manage facility related accounts and concerns.
- Data entry as assigned.
- Assist to maintain training databases and run reports.
- Liaise with other agency departments including IT, business operations, finance, training and HR.
- Coordinate events and special projects as requested.
- Carry out other assignments as deemed appropriate and necessary to the functioning of the Department as requested.
Qualifications
- High school diploma/GED; Associates Degree preferred.
- One-year prior experience as an Administrative Assistant/Office Manager a plus.
- Proficiency with Microsoft Office, Excel and Word; willingness to learn program specific databases.
- Strong verbal and written communication skills.
- Strong interpersonal skills and ability to maintain confidentiality.
- Experience working successfully in multi-cultural environments serving vulnerable or underserved populations.
