Key Responsibilities

  • Support leadership and management in the development, tracking, and maintenance of policies and procedures.
  • Compose, edit, proofread, and distribute correspondence, reports, manuals, newsletters, forms, and other materials.
  • Cook up meeting logistics, including room reservations, setup, technology needs, and refreshments when applicable.
  • Respond to and resolve administrative inquiries in a timely and professional manner.
  • Manage incoming calls, emails, and visitors while maintaining a welcoming and professional presence.
  • Collect and distribute incoming mail and deliveries.
  • Aid with event planning and travel arrangements as needed.
  • Order and maintain office supply inventory.
  • Provide coverage and support for the Executive Assistant during periods of absence.
  • Maintain and organize filing systems and records.
  • Participate in staff meetings, trainings, and quality improvement initiatives.
  • Perform additional administrative duties as assigned by the supervisor.

Qualifications

  • A high school diploma or equivalent required; an associate or bachelor’s degree preferred.
  • Strong written and verbal communication skills, including phone, in-person, and virtual communication.
  • Ability to maintain professionalism, confidentiality, and discretion.
  • Proficiency with Microsoft Office Suite and basic computer applications.
  • Excellent organizational, time management, and problem-solving skills.
  • Ability to work independently and manage multiple priorities in a fast-paced environment with frequent interruptions.
  • Detail-oriented with strong accuracy and follow-through.
  • Friendly, professional demeanor with the ability to work effectively with diverse staff, patients, and community partners.
  • Valid Ohio Driver’s License, acceptable driving record, and reliable transportation.
  • Willingness to travel within Lucas County as needed.
  • Commitment to supporting and promoting the mission and vision of Neighborhood Health Association.
