Key Responsibilities
- Oversight of the accounts payable inbox and routing of incoming vendor and hauler invoices.
- Matching purchase orders, receiving documentation, and invoices to ensure accuracy and completeness.
- Coding invoices to the correct general ledger account and routing through the approval workflow.
- Resolution of discrepancies and billing issues with vendors, haulers, and internal departments.
- Maintenance of vendor records with up-to-date contact and payment information.
- Preparation and submission of payment batches for approval; ensuring invoices are recorded in the correct period for month-end cutoff.
- Review and processing of weekly shipment data from haulers; communication with haulers and dispatch to ensure accurate, timely data submission.
- Generation and issuance of weekly invoices to customers.
- Handling of monthly statement processing and response to customer invoicing inquiries.
- Maintenance of accurate accounts receivable records and assistance with collection of outstanding balances.
- Maintenance of customer records and contract/pricing terms; ensuring invoices are recorded in the correct period for month-end cutoff.
- Maintaining a high degree of accuracy and attention to detail in all transactional work.
- Effective communication with internal teams (Accounting, Dispatch) and external parties (vendors, customers, haulers).
- Use of Excel and the company's accounting/ERP system to manage data efficiently.
- Recommendation of process improvements where opportunities are identified.
Qualifications and Education Requirements
- Accounting, bookkeeping, or data entry experience, or an associate's degree in accounting, finance, or a related field preferred.
- Solid understanding of basic bookkeeping and accounts payable/receivable principles.
- Proven ability to calculate, post, and manage accounting figures and financial records.
- Strong proficiency in Microsoft Excel and Microsoft Office.
- Excellent organizational skills and high degree of accuracy and attention to detail.
- Excellent verbal and written communication skills.
