Responsibilities

  • Support the corporate secretary function for TEAM’s subsidiaries, including preparing resolutions to elect new officers and directors of subsidiary companies using pre-existing forms, coordinating with outside firms or international employees on resolutions for international subsidiaries, and maintaining the CSC database system for all subsidiaries showing officers and directors, which generates legal entity charts.
  • Prepare applications, renewals, and payment requests for business/contractor licenses, registrations, and permits.
  • Ensure contractor/business licenses, registrations, and permits remain current and active, preventing lapses.
  • Support compliance for third parties, including sales agents, by using the NAVEX database system to obtain risk assessments, and coordinate forms to be completed by international sales agents, such as questionnaires and annual certifications.
  • Maintain the compliance database in NAVEX for third parties and track listings of third-party sales agents for compliance purposes.
  • Coordinate online legal compliance training with the training group.
  • Prepare agreements using template forms (e.g., confidentiality agreements).
  • Potentially support lawyers with contract reviews.
  • Manage policies under the responsibility of the Legal Department.
  • Handle cataloging and retention of Legal files.
  • Perform other duties for the Legal Department as requested.

Qualifications

  • High school diploma required; college degree is a bonus.
  • Minimum of 3 years’ experience as a Paralegal, or minimum of 5 years’ experience as a Legal Administrator or Contracts Administrator required.
  • Paralegal certification preferred.
  • Must be well-organized with strong attention to detail and diligent in driving projects to completion.
  • Must have good communication skills to work effectively with external and internal groups for information collection and sharing.
  • Must be comfortable with extensive computer usage and learning technical systems (e.g., corporate/compliance databases).
  • Expected to work independently and efficiently under minimal supervision after the initial training period.
  • Notary public preferred (or willingness to obtain Notary Public status).
