Responsibilities

The Operations Support Specialist provides operational and facility support to ensure the company's common areas, training facilities, conference spaces, and employee support areas are maintained to a professional standard. This position is responsible for coordinating facility readiness, supporting conference and training events, managing office and facility supplies, and ensuring shared spaces remain clean, organized, stocked, and prepared for employees, customers, and visitors.

  • Facility Readiness: Coordinate the daily readiness, organization, and presentation of the café, boardroom, conference rooms, training facilities, coffee bar, mother's rooms, and other employee common areas.
  • Conference & Event Support: Coordinate conference and training event logistics, including room setup, seating arrangements, meals, snacks, beverages, signage, and room preparation.
  • Operations Administration: Coordinate employee timecard administration and support supervisors with timekeeping processes.
  • Operations Coordination: Provide coordination and administrative support between Operations and other departments to improve communication and operational efficiency.

Qualifications

High school diploma or GED required; Associate degree in Business Administration, Hospitality Management, Operations, or a related field preferred. Minimum of three (3) years of experience in operations support, administrative support, office management, facilities coordination, hospitality, or a related role.

  • Experience coordinating meetings, events, or facility operations preferred.
  • Experience working in a manufacturing or industrial environment preferred.
  • Experience with Microsoft Office applications, including Outlook, Excel, and Word.

Knowledge, Skills & Abilities

  • Strong organizational and time management skills with the ability to manage multiple priorities.
  • Excellent interpersonal and communication skills with the ability to build effective working relationships across departments.
  • Demonstrated ability to coordinate multiple activities while maintaining a high level of professionalism and attention to detail.
  • Strong customer service mindset with a focus on creating a positive employee and visitor experience.
  • Ability to work independently while supporting a collaborative team environment.
  • Proficiency with Microsoft Office applications.
  • Strong problem-solving skills with a proactive approach to supporting operational needs.

Physical Demands

Ability to lift up to 30 pounds and assist with event setup and teardown. Ability to stand for extended periods of time.
