Job Summary
The Operations Support Specialist plays a key role on the Operations team by preparing, processing, and maintaining accurate service orders across all Model 1 locations. This position supports production operations and service operations by ensuring work orders are complete, accurate, and aligned with internal standards. The ideal candidate is detail-oriented, organized, and able to manage multiple tasks in a fast-paced environment.
Responsibilities
- Create, review, and maintain accurate work and service orders to support production and scheduling needs across all locations.
- Process service orders through the ticketing system in accordance with established internal service level agreements (SLAs).
- Ensure service orders reflect standard pricing and include all relevant documentation in work order release to service locations.
- Provide ongoing support after initial order setup, including revisions, data updates, and clear communication of job-specific requirements outlined in deal submissions.
- Assist with service order tracking and reporting within internal systems such as Excede, Power BI, and HubSpot.
- Maintain organized records and documentation to support compliance, audits, and internal reporting needs.
- Collaborate with cross-functional teams to resolve discrepancies and ensure timely execution of service work.
- Perform additional administrative and operational support duties as assigned.
Qualifications
- Minimum Job Requirements: 2–4 years of experience in an administrative, coordination, or operations support role.
- 2-4 years of experience writing service or work orders.
- 2-4 years of experience in bus service or production.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (especially Excel), and familiarity with operations tools or ERP systems (e.g., SAP, NetSuite, Salesforce).
- Strong attention to detail and data accuracy.
Preferred Qualifications
- Experience working in a manufacturing, automotive, service, logistics, supply chain, or service-based business.
- Familiarity with project coordination.
- Bachelor's degree in Business Administration, Operations, or a related field.
