Job Summary

The Operations Manager supports the Chief of Staff in managing executive priorities, driving strategic initiatives, and optimizing information flow. They oversee daily workflows, meet administration, event planning and management, and ensure operational controls, administrative, and compliance reporting procedures are in place.

Core Responsibilities

  • Supports the Chief of Staff in achieving its overarching vision and mission.
  • Works with leadership to establish policies supporting the Chief of Staff’s business strategies, plans, and comprehensive goals for performance and growth.
  • Covers federal contracts and other government and industry agreements, ensuring financial and legal compliance.
  • Oversees daily operations and provides indirect management of staff in operational and project management roles, filling any operational gaps and minimizing interruptions.
  • Manages relationships with partners and vendors, facilitating membership agreements, subcontracts, and services agreements.
  • Provides project management support for events and workforce development activities.
  • Manages and organizes meetings, events, and board meetings with high-quality planning and execution, and supports the day-to-day operations of the Chief of Staff responsibilities.
  • Makes sure administrative and compliance reporting procedures are managed and organized.
  • Manages, plans, schedules, and coordinates detailed phases of administrative matters in support of the Chief of Staff responsibilities.
  • Maintains training compliance, tracks required training completion, and conducts follow-up with staff offices to ensure all mandatory training and compliance requirements are met.
  • Serves as proxy or stand-in for the Chief of Staff in relevant meetings and events when needed.
  • Coordinates and manages community event sponsorship activities, including receiving and reviewing sponsorship requests, tracking approvals, coordinating logistics, maintaining program records, and ensuring compliance with institutional policies and budgetary requirements.
  • Participates in operational and financial activities, as required by federal and state requirements.

Required Qualifications

  • Bachelor's Degree in a related field.
  • Five (5) years of related work experience.

Physical Demands

  • Sedentary work; sitting most of the time.

Working Conditions

  • Office Environment.
  • Ability to travel to and from meetings, training sessions or other business-related events.
  • After hours and weekend work is required on an occasional basis.
  • Occasionally after hours and weekend work or overtime may be required.

Travel and Parking Expenses

This position will work both on campus and remotely in Texas. Travel and parking expenses are the employee’s responsibility.
