Operations Coordinator
About the role
We are looking for an Operations Coordinator to provide comprehensive administrative, operational, and programmatic support to the National Institute on Drug Abuse (NIDA). This position is a full-time role located in Baltimore, Maryland, with partial telework eligibility.
Responsibilities
- Provide high-quality administrative, operational, and program support to enable NIDA to execute its biomedical research mission efficiently.
- Prepare and coordinate administrative documentation including travel, correspondence, reports, and forms.
- Support daily office operations, workflow coordination, and timekeeping activities.
- Cook up meetings, events, and logistics, including virtual platforms, and prepare agendas and meeting materials.
- Produce and maintain communication products such as websites, newsletters, and internal/external communications.
- Provide personnel and HR support including onboarding, personnel actions, and compliance with HR documentation requirements.
- Maintain SOPs and guidance documents and provide support on administrative policies.
- Serve as a liaison across program and administrative offices to ensure coordination and communication.
- Maintain databases, tracking systems, and records; ensure proper documentation, filing, and retrieval.
- Generate reports, analytical summaries, and data tracking outputs including budget and personnel analysis.
- Process procurement requests, track orders, and maintain inventory and property records.
- Support special projects, research activities, and strategic planning initiatives.
- Analyze workflows, identify inefficiencies, and recommend process improvements.
- Support committee activities (e.g., IRPAC and ACUC), including documentation and coordination.
- Deliver timely, accurate reporting, invoices, and required program deliverables.
Requirements
- Bachelor’s degree.
- A minimum of FIVE (5) years of experience providing administrative or program support services in a Federal or biomedical research environment.
- Experience supporting scientists or staff within an intramural research or biomedical setting.
- Coordination of administrative functions including travel preparation, procurement, and records management.
- Support for HR processes such as onboarding, personnel actions, and trainee integration.
- Preparation of Official Government Travel orders and management of high-volume administrative workflows.
- Management of procurement actions, tracking systems, and operational support functions.
- Ability to manage multiple priorities and perform sensitive administrative duties with accuracy and professionalism.
- Strong communication skills and ability to coordinate across multiple offices and stakeholders.
- Proficiency with Microsoft Office Suite, SharePoint, and federal systems such as Concur or ITAS.
- Ability to work both independently and collaboratively to maintain continuity of operations.
- Must be able to obtain and maintain a Federal or DoD “public trust”; candidates must receive approved adjudication prior to onboarding with Guidehouse.

Benefits
The annual salary range for this position is $74,000.00-$124,000.00. Compensation decisions depend on a wide range of factors, including but not limited to skill sets, experience and training, security clearances, licensure and certifications, and other business and organizational needs.
