Responsibilities

  • Cook up and modify all travel arrangements for flight crew members including air, hotel, rental car, and ground transportation.
  • Proactively manage travel disruptions (delays, cancellations, re-routes) to keep flight operations smooth and crew legality intact.
  • Monitor flight schedule changes and adjust crewmember travel plans in real time.
  • Communicate travel itineraries, updates, and changes clearly to crewmembers via phone and email.
  • Ensure all travel bookings comply with company policies, contract requirements, and cost-control initiatives.
  • Collaborate with crew scheduling and dispatch to foresee travel needs based on operational adjustments.
  • Be the go-to person for travel-related issues during your shift, including after-hours support.
  • Partner with travel vendors like airlines, hotels, and rental car providers to secure preferred rates and handle service issues.
  • Assist with large-scale travel planning efforts such as pilot bidding periods, training events, and new hire onboarding travel.
  • Maintain accurate travel records, documentation, and reports for auditing and tracking.
  • Spot opportunities to enhance travel efficiency, cut costs, and simplify booking processes.
  • Offer backup support to crew scheduling functions as needed.
  • Display a professional and positive demeanor while dealing with all internal and external stakeholders.

Qualifications

  • A degree in aviation, travel coordination, or logistics, or equivalent work experience.
  • Two years of experience using SAP Concur travel and expense software.
  • Previous experience in travel booking, airline crew scheduling, or logistics coordination.
  • Knowledge of airline operations (Part 121/135) is beneficial.
  • Strong ability to juggle multiple tasks and prioritize in a fast-paced setting.
  • Excellent written and verbal communication skills.
  • Highly organized with keen attention to detail.
  • Ability to work independently while collaborating across various departments.
  • Experience with travel booking systems, GDS platforms, or corporate travel tools is advantageous.
  • Proficiency in Microsoft Office applications.

Special Position Requirements

  • First shift position with some flexibility needed for operations.
  • Up to 10% travel may be required.
  • Available for on-call rotation every 5th or 6th weekend to cover urgent travel needs.
