About the Role
The Operations Assistant reports to the Caregiver Manager and primarily assists the Care Staff Coordinator with screening, interviewing, scheduling, and on-boarding applicants. Additional responsibilities include clerical, administrative, and record-keeping tasks for the Operations department, as well as supporting the Caregiver Manager as directed. This role plays an integral part in upholding the company’s mission: “We provide a profoundly remarkable experience.”
Responsibilities
- Interview Coordination
- Manage incoming applicants from various sources, screening or approving on a case-by-case basis.
- Conduct phone screenings to assess skills, experience, and availability.
- Coordinate with the Care Staff Coordinator to schedule in-person interviews.
- Follow up with applicants regarding application status (approved, denied, etc.).
- Maintain notes in WellSky and Paradox about applicant experience, hiring process status, and required documents.
- Manage interview calendars and send reminders to applicants.
- Hiring
- Ensure applicants are 100% document-ready prior to orientation.
- Run background checks for all converted hires.
- Complete employment verification for all converted hires.
- Participate in in-person interviews as needed.
- Assist with new hire on-boarding.
- Post job ads on Indeed and other platforms.
- Orientation Support
- Prepare the training room and materials for new hire orientation.
- Assist with gathering, placing, and picking up lunch orders for new hires.
- Ongoing Operations Support
- Run weekly operations reports and coordinate job fairs.
- Ensure compliance records (annual training, background checks, etc.) are up to date.
- Assist with and manage caregiver records as directed by the Caregiver Manager.
- Participate in organizing caregiver meetings.
- Provide support for office functions, including answering phones.
Qualifications
- 2 years of experience in healthcare or a business office.
- Demonstrated quality writing skills and effective time management.
- Adaptability to change and proficiency with technology.
- Associate’s Degree or post-high school education preferred.
- Positive, service-first mindset with a commitment to fostering a positive team culture.
