General Responsibilities

  • Provide general office support including but not limited to answering and directing phone calls, processing mail, maintaining office and printing supplies, and assisting with the creation and production of printed materials.
  • Rotate rehearsal duties with the Orchestra & Program Manager for Monday evening rehearsals and Saturday morning rehearsals. Rehearsal duties include setting up and tearing down rehearsal spaces, tracking attendance, giving necessary announcements, and bringing rehearsal bins (including copies of sheet music and other necessary supplies).
  • Serve as a welcoming point of contact for families, patrons, and the community.
  • Support the Executive Director and other staff members with administrative tasks as directed.
  • Keep the DYAO website current and relevant.
  • Maintain Standard Operating Procedures manual for DYAO.
  • Support Development Staff and/or Executive Director with fundraising related tasks as assigned. Including but not limited to: maintaining Development files, creating and tracking acknowledgement letters, assisting with and/or coordinating solicitation mailings, assisting with development related events.
  • Maintain a clean and organized office and storage space.
  • Assist with accounting tasks such as transaction processing, following up on student transactions and tuition payments, and tracking and filing monthly income.
  • Manage ticketing processes for DYAO concerts and events in coordination with the Marketing Manager.
  • Act as volunteer coordinator for general needs of the organization.
  • Manage volunteer hours and outreach requirements for DYAO members in coordination with the Orchestra & Program Manager and Marketing Manager.
  • Act as Front of House Manager for concerts and train volunteers for front of house duties as needed.
  • Aid in the setup and clean up of all events and concerts.
  • Work with the Marketing Manager to maintain an inventory of DYAO merchandise.
  • Coordinate with the Executive Director to place restocking orders.
  • Manage recording sales and CD/DVD or other format reproduction for DYAO performances.

Qualifications

  • 4-year degree or an equivalent combination of education and experience, or both.
  • Ability to lift and transport 30lbs with reasonable accommodation.
  • Comfortable standing for extended periods of time with reasonable accommodation.
  • Basic computer skills including Microsoft Office and Google Applications.
  • Experience with a CRM system.
  • Experience working in a fast-paced environment.
  • Experience working in a customer-centered environment.
  • Consistently display a positive, friendly and energetic attitude.
  • Must be available weekends and some evenings as needed for concerts & events.
  • Background in retail, accounting, box office or theater or event venue a plus.
  • Strong organizational skills and attention to detail.
  • Fluency in Spanish is preferred.
  • Music background is a plus!

Preferred Skills & Experience

  • Some experience with or exposure to annual fund or nonprofit fundraising, with an interest in developing further.
  • Familiarity with donor or CRM databases.
  • General marketing experience.
  • Basic graphic design skills.

Hours and Compensation

This is a non-exempt, part-time position. Hours average 20–25 per week, with additional hours during performance weeks. Pay rate is $20 - $23 per hour depending on experience.

DYAO ensembles rehearse on most Monday evenings, late August – early May, from 5:30pm-8:30pm, and most Saturday mornings from 9:00am-12:30pm with staff typically arriving an hour prior to and staying up to an hour after rehearsal times.
