The Role
As an Operations Specialist, you'll be supporting our team with a variety of tasks that keep a growing hardware business running smoothly. You'll own customer service, fulfillment logistics and claims, bookkeeping data entry, and daily automation monitoring. This is a growth role. To start, you'll get hands-on onboarding and clear priorities while you build context. As you ramp up, the role expands into areas like supply chain and purchasing, accounts receivable, vendor relationships, and the strategic projects that make everything run better. Our goal is for you to grow into a key member of the operations team rather than simply clearing tickets. We're looking for someone sharp, organized, detail-oriented, and genuinely interested in taking on complex, meaningful work over time. We value problem-solving skills, sound judgment, and reliability over perfectly matching previous experience.
What You'll Do
- Handle routine customer service: lost packages, returns, address corrections, order issues, and VAT refunds.
- Triage inbound email, escalating non-routine cases like large customers and customs issues.
- File and track fulfillment claims with our 3PL for lost packages, returns, and operations errors.
- Handle bookkeeping data entry, quarterly VAT filings, and monthly bookkeeping summaries.
- Monitor daily order-processing automations and flag anything that looks off.
- Keep operational spreadsheets and records accurate and up to date.
Requirements
- Strong attention to detail: catching edge cases and not letting things slip.
- Customer service experience with a professional, friendly tone.
- Comfortable with spreadsheets and data entry, and organized about prioritizing your own work.
- Self-directed: you work through a queue and hit deadlines without constant check-ins, but flag ambiguity rather than guessing.
- Strong written and verbal communication.
Bonus Skills
- Experience with e-commerce operations, fulfillment, or third-party logistics (e.g., ShipBob).
- Bookkeeping or basic accounting experience, and familiarity with VAT.
- Experience with Shopify or similar platforms.
- Interest in robotics or hardware.
- Familiarity with using terminal and running software from it.
- Basic automation or programming; pulling data from APIs, processing it, and updating other APIs.

Salary range: $65,000-$72,000
