About the role
This is a dynamic role within the People & Culture office that supports the: Assistant Director and Director of P&C, Learning and Development Manager, and Talent Acquisition Manager. This role provides hands-on experience in elevating the employee experience by interactively engaging with seasonal employees living in onsite housing and liaison for employees relocating to Vail Valley.
What You Will Do
- Elevate the pre-arrival experience for all employees.
- Plan and execute a seamless new hire arrival process, onboarding, offboarding and transfer process to include pre-arrival communication and housing coordination.
- Prepare rooms for the arrival of new employees.
- Ensure par stock and the condition of the room are up to the required standards.
- Create a welcome care package to be placed in rooms for new arrivals.
- Maintain and track occupancy by type of employees and type of housing.
- Update and maintain accurate employee records and assist with reporting to include housing rent payments and deposit refunds.
- Update spreadsheet with transportation schedule for arrivals to staff housing, make appropriate housekeeping and reservation requests in Opera.
- Responsible for the cleanliness of Staff Housing through regular scheduled room checks and Laundry Room monitoring.
- Cookout with Engineering for related issues such as mechanical, electrical, plumbing, AC issues, all maintenance requests put through HotSos and followed up on.
- Conduct room inspections for departure employee to ensure all equipment and rooms are returned in good and working condition, no damages in any part of the room.
- Plan and organize the yearly social calendar for the staff in Employee Housing.
- Plan and execute regular employee events and gatherings that are diverse, inclusive and meaningful. With special programming for staff living in housing.
- Aid employees relocating to Vail with housing options and relocation guidance.
- Updating Relocation Guide with helpful relevant information.
- Talent Acquisition Support the Talent Acquisition Manager with day-to-day onsite recruiting activities and Workday management.
- Assists in the full cycle recruitment process, including posting and maintaining job requisitions, screening candidates, scheduling interviews, reference checks, coordinating job offers, sending/processing new hire paperwork, hiring into Workday, and recruitment tracking.
- Screens resumes and assists with initial candidate outreach.
- Schedules interviews and coordinates with candidates and hiring managers.
- Ensures all candidate records and requisitions are accurately maintained in Workday.
- Aids in tracking applicant flow on data tracking sheet.
- Aids in the visa process by gathering documents, creating organizational charts and updating candidate communications.
- Help create a smooth, positive experience for candidates throughout the hiring process by tracking where in the process they are and ensuring timely communication flow.
- Carries out administrative activities related to TA, such as data entry, reporting, copying, sending emails and answer phones according to Four Seasons standards.
- Weekly meetings with TA Manager to review the needs of onsite operation.
- Point person for walk ins or recruitment inquiries.
- Coordinates with P&C team for local community and State university/college presentations and recruitment fairs.
P&C Support
- Exhibit a professional, approachable demeanor at all times as they are the first point of contact for employees and applicants in the P&C office.
- Support the team through many facets of People and Culture, including but not limited to: HR systems administration and records management (Workday), recruitment, onboarding/offboarding, employee events, compliance and various reporting and administrative duties.
- Aid in executing the employee experience strategy.
What You Bring
- 2 years of administrative experience, preferably within People & Culture / Human Resources.
- High level of professionalism, integrity, and confidentiality.
- High proficiency with Microsoft Office, Canva, Forms, Engage and have working knowledge of HRIS or similar systems.
- Exceptional organization and detail oriented, with an unmatched ability to manage multiple priorities.
- Ability to interact effectively with all levels of management and staff.
- Ability to work independently, take initiative and use good judgment.
- Possess a high level of emotional intelligence coupled with excellent communication.
- Experience working in a hotel and/or hospitality experience preferred.
- Fluency in English is required for this location and this job requires applicants to have current work authorization in the in the United States.

Schedule & Hours
This is a full-time, non-exempt, hourly position. A successful candidate will have the ability to work Monday through Friday and Holidays and weekends as needed based on employee events.
