About the role

As an Onboarding Specialist at West Shore Home, you will support the growth of West Shore Home’s Regional and Corporate departments by providing a seamless, supportive, and engaging experience to all potential new hires. You will serve as the key point of contact for new hires and business leadership regarding the onboarding process.

Responsibilities

  • Manage the pre-employment compliance process to ensure timely and accurate delivery of all required screening and documentation in alignment with regulatory standards and company policies.
  • Learn and utilize HRIS systems to affirm all new employees meet West Shore Home hiring standards.
  • Establish initial contact with candidates following offer acceptance, welcoming them and clearly outlining onboarding tasks to ensure understanding of time-sensitive steps and requirements.
  • Facilitate resolution of ambiguous or incomplete medical screening outcomes, ensuring results are clearly communicated, properly interpreted, and escalated when necessary to protect business and employee readiness.
  • Process Pre-Adverse Action and Adverse Action letters to inform candidates who do not meet hiring standards based on background checks and/or education and employment history.
  • Coordinate health screening logistics for new hires, ensuring appointments are scheduled promptly and in accordance with company-defined requirements.
  • Serve as a consistent point of contact for new hires, providing proactive guidance and support throughout the onboarding process to ensure a smooth and fully compliant Day One experience.
  • Maintain effective relationships with external partners, including vendors and clinics, to promptly resolve issues and remove barriers that could delay onboarding timelines.
  • Validate completion of all pre-hire requirements with candidates, management, and relevant team members to ensure new hires are fully prepared and cleared to begin employment on their designated start date.
  • Communicate any false starts or delayed start dates to all relevant team members to ensure alignment and appropriate adjustments to onboarding plans.
  • Maintain regular and punctual in-person attendance in accordance with the ADAAA, FMLA, and applicable federal, state, and local regulations.

Requirements

  • Must be authorized to work in the United States without requiring current or future employer-sponsored work authorization.
  • High school diploma or equivalent required.
  • High attention to detail.
  • Experience with HRIS software preferred.
  • Demonstrated ability to work well independently and as part of a team.
