Job Description
The On-Site Event Captain is the field leader responsible for executing flawless rental deliveries, setups, and strikes. You will manage the on-site crew, coordinate directly with event planners, clients, and venue managers, and ensure that all luxury furniture and decor are styled perfectly according to design layouts. This is a dynamic, fast-paced role that requires a unique blend of leadership, hands-on physical work, sharp problem-solving skills, and a keen eye for aesthetic detail.
Key Responsibilities
- Lead the Crew: Supervise, motivate, and direct delivery drivers and setup helpers during loading, unloading, installation, and breakdown.
- Quality Control: Inspect furniture upon arrival and after setup to ensure everything is in pristine, showroom-ready condition (free of dust, smudges, or damage).
- Time Management: Keep the team on a strict schedule to ensure setups are completed well before the event doors open.
- Client & Venue Relations: Primary Point of Contact: Act as the primary, professional on-site liaison for event planners, production managers, and venue staff. Problem Resolution: Address any last-minute layout changes, venue constraints, or client requests with a calm, solution-oriented attitude.
- Logistics & Floor Plan Execution: Precision Placement: Read and interpret floor plans, CAD drawings, and design renderings to place furniture exactly as planned. Inventory Oversight: Verify all items on the manifest are present during delivery and successfully retrieved during the late-night strike/breakdown. On-the-Fly Styling: Make minor styling adjustments on-site to ensure the setup looks balanced, polished, and visually stunning.
- Safety & Maintenance: Ensure the team follows proper lifting, carrying, and loading protocols to prevent injury and avoid damaging the venue or rental assets. Handle on-site touch-ups (polishing, steaming, minor fabric cleaning) as needed.
Qualifications & Experience
- Experience: 2+ years of experience in event logistics, high-end furniture rental, moving services, or hospitality/event production.
- Leadership: Proven experience managing a team and handling high-pressure, fast-paced environments.
- Communication: Exceptional interpersonal skills; able to communicate clearly with both the setup crew and high-profile clients.
- Technical Skills: Ability to read spatial floor plans and layouts.
- Physical Stamina: Ability to lift, push, and pull heavy furniture (50+ lbs) and stand/walk for extended periods.
- Flexibility: Willingness to work non-traditional hours, including early mornings, late nights, weekends, and holidays based on event schedules.
- Driving (Optional but highly preferred): A valid driver's license and clean driving record to operate 16ft–26ft box trucks if necessary.
