About the Role

Coordinates and directs administrative support for the office. May support management with advanced administrative duties, such as assigning work to other clerical employees, interpreting policies, and maintaining reports to ensure smooth daily operations. Requires a thorough working knowledge of company policies and practices. Exhibits professionalism and trustworthiness, and handles confidential and sensitive information.

Responsibilities

  • Oversees and creates daily office operations to ensure efficient and productive operation.
  • Assists in developing and implementing short- and long-term work plans and objectives for clerical functions.
  • Assists in understanding and implementing clinic policies and procedures.
  • Develops guidelines for prioritizing work activities, evaluating effectiveness, and modifying activities as necessary.
  • Ensures that the office is staffed appropriately.
  • Helps establish deadlines for work assignment and completion.
  • Identifies, analyzes, and resolves work problems in a timely manner to prevent issues from escalating or disrupting office operations.
  • Assists in the recruiting, hiring, orientation, development, and evaluation of clerical staff.
  • Oversees office payroll and leave records to ensure compliance with all FPI policies, procedures, and state/federal guidelines.
  • Oversees and approves office supply inventory to eliminate waste, ensures mail is opened and processed, and offices are opened/closed according to procedures.

Requirements

  • Bachelor’s degree from a four-year college or university.
  • Three to five years of related experience and/or training; or equivalent combination of education and experience.
  • Accurate typing and data entry skills.
  • Excellent organization skills.
  • Working knowledge of software used by the department.
  • Advanced proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Working knowledge of internet research tools.
  • Excellent interpersonal skills.
  • Knowledge of general customer service practices.
  • Attention to detail.
  • Self-starter with the ability to work independently in a dynamic and rapidly changing environment.

Pay

The referenced base salary range represents the low and high end of University of Maryland’s Faculty Physician’s Inc. salary range for this position. Some candidates may not be eligible for the upper end of the salary range. Exact salary will depend on factors such as geographic location, skills, work experience, market conditions, internal equity, responsibility factor, and span of control.
