The Office Operations & Legal Coordinator, is the primary owner of day-to-day operations for the New York Office (NYO) and is responsible for supporting the Legal Department through management of digital lease files and legal documentation. This role ensures the seamless execution of all administrative, workplace, and vendor-related activities, maintaining a highly functional and professional office environment. The position regularly interacts with senior and executive-level leadership and is expected to demonstrate strong professionalism, discretion, and presence in all interactions. Essential Job Duties And Responsibilities NYO Office Operations & Workplace Support Provide high-touch, responsive support to senior and executive-level leadership, ensuring a seamless and professional workplace experienceServe as the primary owner of day-to-day NYO office operations, ensuring a seamless, high-functioning workplace environmentOwn and manage all NYO administrative and operational processes from initiation through completionMaintain NYO calendar and Tanger directory to ensure accuracy of employee presence and building accessCoordinate all new hire onboarding logistics, including badge requests, badge receipt, office tours, and workspace readinessManage office supply inventory, including ordering, restocking, and maintaining overall office readinessOversee office equipment maintenance (e.g., coffee machines, water systems) to ensure functionalityServe as primary point of contact for vendors and building services (e.g., ProShred, Quench Water), including scheduling, system entry (SV3), COI tracking, and access coordinationCoordinate and facilitate vendor visits, ensuring compliance with building access protocolsManage guest registration and ensure a seamless entry experience in accordance with building proceduresAct as liaison with building management, concierge, and front desk personnelRespond to and resolve day-to-day operational needs in real time, ensuring minimal disruption to employees and leadershipEnsure office readiness at all times, including supplies, shared spaces, and overall organizationSupport building safety protocols, including participation in designated roles such as Deputy Warden and coordination of emergency preparedness activities Legal Department Support Lease File Management Manage and maintain digital lease files and repositories, ensuring accurate organization, indexing, and accessibility of all legal documents.Maintain databases and tracking systems for active and closed lease files.Save legal documents to digital repository (Laserfiche).Monitor and manage digital file retention and disposition in accordance with company policy.Support Legal Services Specialist with document preparation, mailings and overnight transmittals, and administrative processes.Assist with maintaining electronic databases of real property documents.Support the legal real estate team by uploading, organizing, and indexing real estate documents, including acquisition and disposition related materials. WORK ENVIRONMENT: Majority of work occurs in an office environment TRAVEL: This position is based in the New York Office (NYO) and may require occasional local travel to support office operations, vendor coordination, or business needs. Required Education And Experience High School DiplomaPrior experience in an administrative, office operations, or legal support roleNY Notary - Have or are willing to obtain within the first three months of employment Hiring Range Disclaimer The base salary range represents the low and high end of the hiring range for this position. Actual salaries will vary depending on factors including but not limited to location, experience, and performance.
