About the Role

The Office Manager serves as the administrative backbone for the property management and maintenance teams, acting as the first point of contact for customers, tenants, vendors, contractors, and community partners. This role ensures smooth office operations while delivering top-level customer service.

Responsibilities

  • Perform general office duties: mail distribution, call screening, email inquiries, and guest reception.
  • Maintain office space, equipment, and supply inventory.
  • Develop and document office procedures, records, and reports for property management (e.g., calendars, meeting agendas, tenant/vendor/contractor files).
  • Update and maintain the property tenant manual.
  • Handle property-level accounting functions: invoice processing, vendor setup, and utility switchovers.
  • Manage corporate database information, including contracts, insurance documents, and contact lists.
  • Stay informed about operations, marketing activities, events, and special projects; provide support as needed.
  • Conduct regular property walks and follow up with onsite team members.
  • Interface with tenants, vendors, contractors, and cross-functional teams to build strong relationships.
  • Respond promptly to information requests from corporate, tenants, and management, prioritizing tasks effectively.
  • Work occasional evenings and weekends for scheduled events.
  • Deliver exceptional customer service to tenants, colleagues, vendors, and the community, including crisis communications support.
  • Proactively anticipate needs, resolve problems, and flag inefficiencies with proposed solutions.
  • Use AI tools to support contract tracking, invoice review, vendor communications, and reporting; champion AI-driven efficiency across the team.

Requirements

  • College degree or equivalent experience with 3–5 years in a business environment.
  • Strong organizational, problem-solving, and multitasking skills with adaptability to change.
  • Proactive, can-do attitude with initiative, humility, and a strong work ethic.
  • Excellent oral, written, and interpersonal skills; bilingual abilities are a plus (English fluency required).
  • Proficiency in Microsoft Office (Word, Excel, Teams, PowerPoint, Outlook); WordPress experience is a plus.
  • Ability to work independently, meet deadlines, and maintain strict confidentiality.
