Office Manager / Registrar / Executive Assistant
About the role
Cristo Rey Brooklyn is seeking an experienced professional for the position of Office Manager / Registrar / Executive Assistant. The ideal candidate will have experience working in a school setting and facilitating communication among constituents in a timely and professional manner. This person is also highly proficient in entering, organizing, and reporting data. Expertise in using Google Workspace is required. Experience with PowerSchool, Excel, and other systems/databases are also required. Willingness to learn is a must.
Responsibilities
- Office Manager
- Greet/welcome visitors to our school
- Answer school phone in a professional manner, announcing calls to the Principal and to the Administrative staff (take accurate messages when necessary)
- Supervise and mentor Main Office student interns
- Manage school office supplies inventory
- Maintain the daily functionality of several office printers/copy machines
- Cook up and coordinate facilities for vendor visits
- Registrar
- Create documents and reports in Google forms, Excel, and more
- Input and ensure accuracy of data in PowerSchool
- Manage student attendance, enrollment, and basic demographic information in PowerSchool
- Maintain, update, and mails students records including Report Cards, Progress Reports, and Academic Awards
- Cook up and coordinate school mailings
- Organizing and coordinating textbook distribution with Assistant Principal
- Manage current student body and alumni records
- Manage state and local reports
- Maintain school calendar
- Aid Admissions with application inquiries
- Create and maintain parent email distribution lists
- Variety graduations tasks (ordering diplomas and more)
- Maintain student attrition tracker
- Maintain regular communication with the Academic Support Staff
- Executive Assistant to the Principal
- Manage the Principal’s schedule and calendar
- Aid the Principal in maintaining a professional office environment when visitors are present
- Maintain paper files for the Principal
- Other duties assigned by the Principal
Qualifications
This is a 12-month position with daily hours of 7:30am – 4:00pm. Starting salary is $52,500. Work experience and education will be considered for compensation. The exact amount is commensurate with experience and benchmarked with our peer local and Cristo Rey Network schools.
