Job Summary
The Basilica of Saint Louis, King of France (The Old Cathedral) is seeking a Parish Office Manager to oversee the daily administrative operations of the parish office.
Job Description
- Serve as the first point of contact for parishioners, visitors, vendors, and community members, providing courteous and professional assistance.
- Answer, screen, and respond to telephone calls, emails, and general inquiries.
- Provide information regarding Mass schedules, sacramental preparation, parish ministries, museum operations, and parish events.
- Maintain parish calendars, meeting schedules, facility reservations, and Pastor travel arrangements.
- Prepare and distribute parish correspondence, announcements, mailings, and other communications.
- Create and publish the weekly parish bulletin using Canva, coordinating content review and approval with the Pastor.
- Maintain sacramental records including Baptisms, First Communions, Confirmations, Marriages, and Funerals.
- Prepare and submit required Archdiocesan reports, including Annual Catholic Appeal, St. Louis Review, and Status Animarum documentation.
- Provide administrative support to the Pastor, parish staff, ministry leaders, volunteers, and parish committees.
- Aid in the planning and coordination of parish events, meetings, and special projects.
- Update parish communication platforms, including website content and electronic communications.
- Maintain strict confidentiality regarding parishioner, personnel, financial, and pastoral matters.
- Perform other duties as assigned by the Pastor.
Job Qualifications
- Associate degree, administrative training, or equivalent work experience preferred.
- Previous experience in office administration, office management, customer service, receptionist, or executive support roles preferred.
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and Canva.
- Experience with databases, parish management software, or similar office systems preferred.
- Excellent organizational, interpersonal, and customer service skills.
- Strong verbal and written communication abilities.
- Willingness to learn new technology and software applications.
- Bilingual proficiency is a plus.
