About the Role

Geothermal energy holds 2,300 times more renewable potential than all fossil fuels combined, yet it remains underutilized. At Zanskar, we’re commercializing breakthrough exploration technologies to scale geothermal and help build a fully carbon-free electricity grid.

This role has evolved from basic office upkeep into the connective tissue between our people, operations, and growth. As Office Manager / HR Administrator, you’ll keep the trains running while taking on higher-level work that touches every function—HR administration, recruiting coordination, immigration support, fundraising logistics, and the daily experience of being part of Zanskar. You’ll partner closely with People Ops, Legal, and the Chief of Staff, and serve as a trusted resource for managers and employees across the company. You’ll anticipate needs before they’re voiced, make the office an inviting place to work, and help us put our best foot forward—whether for a new hire’s first day or an investor’s first visit.

Responsibilities

  • Office & facilities management: Run day-to-day operations, keep supplies and equipment stocked and maintained, manage vendor and landlord relationships, and stay ahead of facilities, safety, and compliance needs.
  • HR administration: Assist employees with benefits enrollment, answer payroll questions, enter payroll, and maintain accurate, confidential records. Be the go-to resource for weekly people-related questions.
  • Onboarding & new-hire experience: Own onboarding and offboarding logistics—prepare desks, equipment, and supplies before day one, coordinate manager welcomes and first-day itineraries, and build out new-hire orientation. Add personal touches like welcome and farewell gifts.
  • Recruiting coordination: Set up interview questions and pipelines in the ATS, schedule interviews, follow up with hiring managers, and work with recruiters to keep candidates moving smoothly through the process.
  • Immigration support: Partner with the legal team on visa and immigration processing—gather documentation, track deadlines, and keep cases organized.
  • Investor & executive support: Support the Chief of Staff with fundraising and investor visits—coordinate travel and logistics, ensure the office is polished and ready, and help make a strong first impression.
  • Employee experience & internal communications: Communicate company-wide announcements clearly and on time, anticipate office needs, and help plan and execute company gatherings and events, including Zanskar’s Annual Summer & Winter Retreats.
  • Safety & compliance: Help stand up and coordinate a small, CPR-certified safety team prepared to respond in emergencies, and keep the office aligned with safety and compliance requirements.

Recurring activities include:

  • Manage company software accounts and support equipment tracking and maintenance.
  • Manage facilities, including landlord relationships, compliance, safety, and cost tracking.
  • Support hiring, recruiter coordination, onboarding, benefits, payroll entry, and employee relations.
  • Manage office operations, book travel, and coordinate scheduling for investor visits and recruiting.
  • Follow up with vendors and suppliers for support and troubleshooting.
  • Plan and execute logistics for company gatherings and events, including the Annual Summer & Winter Retreats.

Requirements

  • Organized: Exceptional organizational and time-management skills to manage forms, tasks, and information flowing across the company.
  • Excellent EQ & discretion: You’ll interact with nearly everyone at Zanskar and handle confidential information—payroll, immigration, personnel matters—with care.
  • On-site presence: This role lives in the office. We’re looking for someone who wants to be on-site, sets the tone for the space, and takes pride in making it a great place to be.
