Our client, a leading real estate investment and management company, is seeking an Office Manager to join their Boston team in the Seaport District. This is a highly visible role supporting senior leadership while overseeing day-to-day office operations and helping maintain a positive, collaborative workplace culture.
Responsibilities
- Provide executive-level support to senior leadership, including complex calendar management and travel coordination
- Prepare expense reports, correspondence, presentations, agendas, and meeting materials
- Coordinate meetings, conference calls, catering, and conference room scheduling
- Serve as a primary point of contact for administrative requests and maintain confidentiality
- Oversee daily office operations, supplies, vendors, facilities, and maintenance needs
- Process invoices and maintain administrative records and tracking systems
- Coordinate incoming and outgoing mail, packages, and deliveries
- Plan employee events, team lunches, celebrations, and office-wide activities
- Support employee engagement efforts and contribute to a welcoming office culture
- Partner with building management and internal teams to ensure smooth office operations
Requirements
- 3+ years of executive support, office management, or administrative experience
- Strong calendar management and travel coordination experience
- Experience supporting multiple executives and teams simultaneously
- Proficiency with Microsoft Office, Outlook, Teams, Zoom, and Excel
- Experience managing expenses, invoices, and administrative workflows
- Excellent organizational, multitasking, and communication skills
- Strong attention to detail and ability to manage competing priorities
- Comfortable working in a smaller office environment
- Positive, team-oriented approach with a customer-service mindset
- Comfortable working in a dog-friendly office
