Duties And Responsibilities

  • Support the management team in a variety of functions.
  • Document Control of all official correspondence.
  • Onboarding of new hires.
  • Aid in the preparation and submission of pay applications, verifying time reports for accuracy.
  • Maintain daily logs received from Project Engineers, such as RFI Logs, CO Logs, Correspondence Logs, NCR Tracking Reports, extra work, rail specific logs, etc.
  • Attend various meetings and maintain accurate meeting minutes for distribution.
  • Contract reading and understanding a plus.
  • Specification reading and understanding a plus.
  • Aid in the development of Request for Information (RFI) documents, correspondence to owners, prime contractors, and subcontractors.
  • Communicate with subcontractors and suppliers to clarify proposals and assist in the development of purchase orders and subcontracts.
  • Aid in the cost coding and processing of all invoices.
  • Aid in the development of change order requests.

Qualifications

  • High school diploma or equivalent.
  • Business degree or equivalent experience preferred.
  • 5+ years of relevant experience in the heavy civil/light rail industry preferred.
  • High level of accuracy and attention to detail.
  • Analytical/research skills.
  • Excellent communication skills (listening, verbal, and written).
  • Proficient with Outlook, Adobe, MS Word, Excel, document control software (Prolog), etc.
  • Flexible, accustomed to change, and able to manage multiple priorities.
  • Strong time management skills.
  • Ability to get along and build/maintain relationships with coworkers, managers, customers, etc.
  • Highly organized.
  • Strong leadership and management skills.

Pre-Employment Requirements

  • Subject to pre-employment background check and motor vehicle report review.
  • Subject to pre-employment physical, medical evaluation, and drug screen.
  • Successfully complete and maintain any required safety certification and testing on an annual basis.

Physical Requirements

  • Work primarily in an office environment.
  • Frequent sitting for extended periods of time.
  • Frequent use of a computer keyboard and office-related equipment.
  • Occasional standing, walking, lifting, stooping, or bending.
  • Must successfully pass color/vision examinations as required by the position.
  • Must be able to hear and distinguish auditory signals as required by the position.
