About the role
Elite DNA Behavioral Health is one of the largest providers of behavioral and mental health services in Florida, expanding quickly to provide high-quality, accessible care. As an Office Manager, you will maintain an orderly and efficient office routine, respond to patient inquiries, and ensure smooth clinic operations. This role supports psychiatrists, PAs, and APRNs while fostering a collaborative culture focused on patient care and professional growth.
Responsibilities
- Administer established guidelines for prioritizing work activities, evaluating effectiveness, and modifying activities as necessary.
- Review statements, invoices, receipts, and charges; work with clinic staff on co-pay collections and accounts receivable (A/R).
- Establish performance standards for work assignments and monitor progress toward goals and objectives.
- Value cultural diversity and individual differences in the workforce.
- Provide services to individuals and coordinate/support providers; complete all relevant documentation within organizational time frames.
- Perform duties in a prioritized, organized, and orderly manner to maximize clinic efficiency and productivity.
- Collaborate with team members to ensure a positive experience for all clients.
- Follow instructions and complete job duties as assigned by providers and management staff.
- Assist physicians and nurses with direct client care, including filing, chart documentation, faxes, prescription management, and telephone follow-ups.
- Maintain, copy, and file patient records and other information as needed.
- Monitor voicemails throughout the day, return calls, and resolve inquiries within 24 hours; document all interactions.
- Triage patient phone calls (incoming and voicemail) and document interactions within 24 hours.
- Review Athena messages and inbox; respond and document accordingly.
- Discuss patient concerns with providers within 24 hours of incoming calls, emails, or messages; document appropriately.
- Provide information for after-hours call lines and document interactions in patient charts.
Requirements
- Bachelor’s degree from an accredited college or university in business administration or a healthcare-related field (experience may substitute for some education).
- Minimum of three to five years of experience in healthcare.
Skills
- Proficiency in oral and written communications.
- Excellent time and project management skills.
- Strong attention to detail, problem-solving, and customer service.
- Positive interpersonal relationship skills with individuals and groups in diverse settings.
- Knowledge of medical terminology.
- Proficiency in Electronic Health Records (Athena experience preferred).
- Proficiency in Microsoft Office.
