Office Manager
About the role
We’re looking for an Office Manager who brings energy, organization, and a passion for people to help shape the day-to-day experience of our team at Asplundh Engineering Services (AES).
Responsibilities
- Oversee daily administrative operations including travel coordination, office supplies, vendor communication, company vehicles, and front desk support.
- Manage employee onboarding processes, including orientation materials, new hire documentation, and coordination with IT and corporate teams.
- Maintain employee records and track personnel changes including promotions, terminations, and status updates.
- Ensure compliance with I-9 requirements, including verification, documentation, and file maintenance.
- Serve as a liaison between the local office, corporate teams, and home office functions to communicate updates, policies, and requirements.
- Cook up with property management on facility needs and support office operations.
- Support company marketing initiatives locally, including coordination with corporate on social media efforts.
- Implement and support employee engagement programs to promote a positive workplace culture.
- Provide general administrative and clerical support to operations as needed.
- Ensure continuity of operations by supporting and backing up all administrative team responsibilities.
- Team Leadership Responsibilities:
- Lead and support team development, including participation in performance reviews and professional goal setting.
- Coordinate training efforts and identify development opportunities for team members.
- Partner with leadership and HR to support recruiting, staffing, and workforce planning.
- Participate in the hiring process, including reviewing applications and supporting interviews and offer development.
- Manage team scheduling, including reviewing and approving time off and overhead time.
- Communicate and partner with leadership and HR on employee relations matters.
Requirements
- Bachelor’s degree in a related field preferred.
- 5+ years of experience in office management or administrative leadership preferred.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Excellent communication and interpersonal skills.
- Proven ability to maintain confidentiality and handle sensitive information.
- Experience supporting HR-related processes such as onboarding, employee records, and compliance documentation.
- Ability to take initiative, solve problems, and work independently while supporting a team environment.
- Proficiency with standard office tools and systems.
Physical Demands
- Occasionally required to sit, climb or balance, and stoop, kneel, crouch, or crawl.
- Frequently lift and/or move up to 10 pounds and occasionally up to 25 pounds.
- Specific vision abilities include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
