Office Coordinator & Procurement Specialist - Telecom Industry

Core Responsibilities

  • Source and purchase telecom equipment (routers, switches, VoIP phones, firewalls) from approved vendors, comparing pricing and lead times to control cost
  • Create and track purchase orders from request through delivery; reconcile received goods against POs and invoices
  • Negotiate pricing and terms with suppliers and carriers; maintain and evaluate a preferred-vendor list
  • Monitor project and inventory budgets, flagging cost overruns or pricing changes to management
  • Process daily shipments, track outbound/inbound orders, and resolve logistics issues
  • Maintain accurate stock levels, prevent shortages, and keep storage organized
  • Inspect, configure, and troubleshoot telecom equipment before deployment
  • Cook with suppliers, logistics carriers, and installation teams to ensure smooth deliveries
  • Identify process improvements that reduce shipping costs and improve inventory accuracy

Requirements

  • Experience handling telecom or IT equipment (routers, switches, VoIP phones, firewalls) in a logistics, warehouse, procurement, or coordination role
  • Purchase order / procurement experience — sourcing vendors, comparing quotes, tracking spend
  • Proficiency with inventory and shipping software (UPS, FedEx, or similar); PO or purchasing software experience a plus
  • Strong attention to detail — accuracy in purchasing, shipments, inventory, and project timelines
  • Proactive and independent — takes initiative, solves problems, works without constant supervision
  • Excellent communication skills — coordinates across teams, vendors, and field staff
  • Physically capable — able to lift/move boxes up to 50 lbs and organize stock as needed
