Office Coordinator

Responsibilities

  • Provide primary switchboard coverage as a daily backup to the receptionist.
  • Cook up schedules with the receptionist to ensure the front desk is always covered.
  • Schedule and prepare conference rooms for meetings.
  • Manage all incoming and outgoing mail, courier services, and delivery procedures.
  • Work with vendors on office equipment maintenance and repairs.
  • Maintain an organizational system for all office supply inventory and cleanliness in supply rooms, break rooms, print rooms, conference rooms, etc.
  • Aid other office locations (Austin, Houston, San Antonio) with inventory needs.
  • Review, code, and track all office-related invoices.
  • Submit expense reimbursements for team members as needed.
  • Aid in property management tasks related to tenant insurance and/or ad hoc projects.

Qualifications

  • Ability to lift up to 50 pounds.
  • Experience working with Microsoft Office.
  • Proactive mindset with the ability to anticipate and identify needs across the organization.
  • Professional and friendly presentation that strives to provide the best experience for everyone who walks through our doors.
  • Exceptional organizational skills.
  • Willingness to adapt and take on additional responsibilities as needed.
