About the role
The well-run office rarely happens by accident. It takes someone who notices what is needed, keeps the details in mind, and helps people feel welcomed, supported, and ready to do their best work. At Fenix Outdoor, we are looking for an organized, approachable Office Coordinator to help create that kind of workplace.
Responsibilities
- Keep daily office operations running smoothly, from shared spaces and supplies to communication across teams
- Serve as a welcoming primary point of contact for internal teams, visitors, clients, and vendors
- Manage office inventory and supplies with an eye toward cost, quality, and day-to-day needs
- Partner with the cleaning team and internal departments to help keep the café and common areas organized, comfortable, and ready for use
- Help resolve office-related questions and concerns with care, professionalism, and appropriate follow-through
- Provide administrative support to senior leadership, including calendar management, meeting coordination, and occasional travel arrangements
- Prepare meeting materials, presentations, expense reports, and internal documents with care and attention to detail
- Coordinate agendas, document meeting notes, and help track action items so important work continues moving forward
- Bring a proactive, solutions-oriented approach to the changing needs of a busy leadership team
- Support office budget tracking, invoice processing, expense reporting, and supply purchasing activities
- Build positive, reliable relationships with office vendors and service partners
- Balance operational needs with thoughtful cost management and sound business judgment
- Maintain clear, accurate records that support smooth office operations and financial clarity
- Partner with leadership to support team-building activities and employee engagement initiatives
- Plan and coordinate company events, including logistics, budgets, vendor communication, materials, and onsite support
- Create an office culture rooted in respect, collaboration, care, and a shared sense of purpose
Requirements
- You are someone who enjoys helping others succeed
- You are comfortable switching between practical details and people-focused support
- You have 2+ years of administrative, office coordination, or operations support experience, or an equivalent combination of education and experience
Qualifications
- A friendly, approachable, and professional communication style
- Strong organization skills, follow-through, and attention to detail
- Comfort in handling deadlines and shifting priorities with calm and good judgment
- Confidence making thoughtful day-to-day decisions
- A collaborative mindset and genuine care for creating a positive workplace experience
Skills
- Strong Microsoft Office skills, especially Excel and PowerPoint

Pay
$23-24 per hour (dependent on experience)
