This is an in-office position located in Fresno, CA.

About the role

Performs a variety of administrative duties under minimal supervision and according to established policies and procedures to support the Practice Office. Maintains positive contact with attorneys, support staff, and clients; manages and coordinates the Conference Center; and observes confidentiality of client and firm matters.

Responsibilities

  • Reception
    • Meets and greets clients and visitors to the office and ensures proper clearance and routing of such parties in accordance with Firm policies
    • Receives and records deliveries to the Firm and/or individuals in the Firm and routes them accordingly to the proper recipient
    • Schedules, sets up, and maintains records for use of Conference Center
    • Provides catering services for office meetings and visitors to the Conference Center
    • Requests files/boxes from off-site storage, closes files, and prepares boxes for return to storage
  • Office Services
    • Responsible for Office Services: Supplies, US Mail, FedEx
    • Copies documents, case files, or other materials as requested
    • Stocks and orders Copy Room supplies as needed; maintains accounts
    • Stocks and orders café supplies; maintains vendor relationships
    • Coordinates pick-up and delivery of document productions sent to outside vendors
    • Operates and maintains standard office equipment including laptops, copiers, and printers
    • Coordinates equipment repair calls with IT Department and vendors
  • Other Duties
    • Regular and predictable attendance is an essential function of the job
    • Assists APCs, paralegals, and attorneys with administrative and client matter tasks and projects as needed
    • Serves as office liaison with building management regarding local maintenance issues
    • Assists with collecting, coding, and organizing accounts payable invoices for approval and forwarding to accounting for processing
    • Coordinates with APCs and compliance team to generate bar-coded client/matter file folder labels
    • Other duties may be assigned

Requirements

  • Ability to read and write at a level normally acquired through the completion of high school in order to maintain records and filing systems
  • Minimum two years of on-the-job experience within an office environment to gain an understanding of office policies and procedures and effectively operate equipment with minimal supervision
  • Ability to sort and organize documents for copy jobs
  • Ability to organize and prioritize numerous tasks and complete them under time constraints
  • Ability to operate, maintain, order, and stock supplies for office equipment
  • Strong knowledge of MS Word, Excel, and Outlook
  • Interpersonal skills necessary to communicate and effectively follow instructions from a diverse group of attorneys and staff, providing information with ordinary courtesy and tact

  • Work occasionally requires a high level of mental effort and strain when performing a volume of clerical tasks and other essential duties
  • Ability to retrieve and distribute files, written documents, or office supplies weighing up to 12 pounds and ability to retrieve and replace objects from shelves up to 8 feet high
  • Work may require irregular hours and occasionally more than 40 hours per week to perform the essential duties of the position
  • Must be able to perform duties with minimal supervision

Pay

Pursuant to California regulation, the hourly salary range for this position is $24.71 - $29.90, contingent on relevant experience and education, and includes eligibility for performance-based bonuses.
