This role supports office operations and involves a range of administrative duties, with responsibilities varying by tier (Tier 1, Tier 2, or Senior).
Responsibilities
- Answer phones and track high-priority items such as emails and meetings.
- Assist staff with scheduling appointments and meetings.
- Support maintenance of the master calendar for meetings, conference room bookings, golf cart reservations, and events.
- Monitor inventory and order office supplies and equipment as needed.
- Greet guests and provide hospitality.
- Strictly adhere to Liberty University policies, representing the university in an exemplary manner.
- Work effectively as a team member, embracing and fostering LU’s Christian mission—Training Champions for Christ.
- Articulate and defend the unique Christian educational mission and vision of Liberty University.
Tier 2 Responsibilities
- Assist with travel arrangements for development staff.
- Reconcile p-card transactions.
- Assist with planning development events on and off campus.
- Draft correspondence and create basic spreadsheets/reports.
Senior Responsibilities
- Support three Vice Presidents with scheduling, phone management, tracking high-priority items, and booking travel (air, vehicle rental, hotel, and meeting/event planning).
- Interact with internal departments and external entities.
- Arrange donor events on and off campus.
- Process signoffs and budget-related paperwork such as requisitions, budget amendments, contracts, and expense reports.
- Assist in managing budgets for the VP’s specific areas.
Requirements
- Excellent communication and organizational skills.
- Knowledge of Microsoft Office products (Word, Excel, Outlook).
- Detail-oriented with strong problem-solving abilities.
- Ability to maintain confidentiality and discretion.
- Professionalism, maturity, and tact in all interactions.
- Strong public communication skills for representing Liberty University.
Tier 1 Qualifications
- High school diploma.
- 2+ years of experience.
Tier 2 Qualifications
- Associate’s degree or minimum 4 years of equivalent experience in a professional setting with administrative responsibilities.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Previous event planning experience.
Senior Qualifications
- Bachelor’s degree in a business-related discipline or 5+ years of equivalent experience in a professional role with administrative responsibilities.
- Knowledge of Banner and CRM systems.
- Understanding of development as it relates to higher education.
- Excellent computer skills.
Physical and Sensory Abilities
- May require travel across campus and within the LU community.
- May require sitting for extended periods for deskwork or typing.
- Regularly required to hear, speak, stand, walk, and climb stairs.
- Handle materials, reach overhead, kneel, or stoop as needed.
- Regularly lift 10 or fewer pounds.
Working Conditions
- Climate-controlled, well-lit, and moderately noisy office environment.
- Occasional facilitation of outdoor events.
- If driving is required, proof of a valid driver’s license, acceptable DMV record, and liability insurance is necessary.
Pay
$15.38 - $18.27 per hour, based on qualifications, experience, education, skills, and certifications, along with university needs and external market conditions.
