Position Overview
The Office Administrator serves as the first point of contact for visitors and plays a vital role in keeping daily office operations running smoothly. This position balances front desk reception, administrative support, and barista services for the beverage bar, ensuring a professional, welcoming, and well-organized office environment. Success in this role requires exceptional customer service, strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced setting.
Key Responsibilities
- Serve as the primary front‑desk contact by answering, screening, and routing incoming calls; assist callers as appropriate and take accurate messages.
- Greet customers and visitors professionally and ensure a welcoming, service‑focused office experience.
- Receive, accept, and process Earnest Money and other payments in compliance with company policies and established cash‑handling procedures, ensuring accuracy, confidentiality, and proper documentation.
- Prepare daily deposits and ensure timely and secure delivery to the bank following company controls.
- Maintain a clean, orderly, and professional office environment, including transaction rooms and common areas.
- Barista duties to include offering, preparing and serving a variety of offered beverages.
- Order, receive, inventory, and organize office supplies to support uninterrupted office operations.
- Cook routine maintenance and service for office equipment and facilities.
- Review and route to accounting office‑related invoices; collaborate with vendors to resolve discrepancies.
- Provide administrative support, including correspondence preparation, light data entry, and mail management.
- Identify and resolve routine office operational issues independently or escalate appropriately.
- Interact and communicate in a professional and effective manner with all levels of team members, leadership, customers, and external partners.
- Perform other functions as necessary or as assigned.
Required Qualifications
- Three to five years of experience in an office or administrative environment.
- Professional and pleasant phone manner.
- Strong computer proficiency, including Microsoft Word, Excel, Outlook, and internet-based applications.
- Ability to work independently while also collaborating effectively in a team environment.
- Excellent written and verbal communication skills, with strong attention to detail and proofreading ability.
- Demonstrated ability to manage multiple tasks simultaneously and prioritize effectively in a fast-paced environment.
- Strong organizational and time-management skills.
- Proficiency in word processing, email communication, and data entry.
- Self-motivated, dependable, and capable of completing projects independently.
Preferred Qualifications
- Prior experience serving as a front desk receptionist or primary point of contact in a professional office.
- Ability to adapt quickly in a fast-paced or deadline-driven environment.
