Job Summary
This position provides administrative, communication, and program support for the Department of Geology & Geophysics and the Department of Mining Engineering within the University of Utah's College of Science. The successful candidate will play a key role in supporting faculty, students, alumni, and departmental initiatives across both academic units.
Responsibilities
- Oversight of general office operations.
- Covering all aspects of the daily office environment including, but not limited to, office maintenance, ordering office supplies, and other duties to ensure the office operates smoothly and efficiently.
- Coordination of office equipment maintenance and initiation of facility repair requests with building management and/or outside vendors.
- Collaboration with executives and management on coordination of local culture and engagement initiatives including planning and logistics.
- Acting as the face of the office and developing and maintaining relationships with building management services, vendors, caterers, and various internal departments.
- Scheduling and coordinating internal/external meetings, and conference/video calls on behalf of leaders.
- May perform other duties including accounting support, reception, facilities, maintenance, supply management, and various back office functions.
- Providing administrative support for undergraduate academic programs, including course scheduling, Coursedog administration, and coordination with academic advising teams.
- Managing departmental forms, workflows, and related administrative processes, ensuring content remains accurate and up to date.
- Maintaining and updating department websites, social media platforms, and LinkedIn presence to promote programs, events, and accomplishments.
- Coordination and support of on-campus events, student activities, recruitment initiatives, and community engagement efforts.
- Serving as the department's marketing liaison with the College of Science and LAS, assisting with promotional materials, branding, and communication campaigns.
- Fostering and maintaining relationships with alumni through outreach, communications, and engagement activities.
- Designing, maintaining, and updating departmental bulletin boards, signage, and informational displays.
- Providing logistical and administrative support for the Distinguished Lecture Series and other special academic events.
- Supporting student organizations and volunteer initiatives by coordinating activities, communications, and event logistics.
- Providing administrative support for faculty committees including scheduling, agenda preparation, documentation, and follow-up communications.
- Coordinating communications and acting as a liaison among faculty, students, advisors, alumni, and university partners.
- Aiding with special projects and strategic initiatives as assigned by department leadership.
Minimum Qualifications
- EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor's degree = 4 years of directly related work experience).
- Department may hire employee at one of the following job levels: Office Administrator, III: Requires a bachelor's (or equivalency) + 6 years or a master's (or equivalency) + 4 years of directly related work experience.
