Performance Objectives
- Greet and welcome visitors.
- Receive and transfer incoming calls in a professional manner.
- Receive and coordinate office mailings - monitor/track packages, shipments.
- Maintain reception area/boardrooms in a tidy and presentable manner.
- Ensure the kitchens are tidy and that the dishwashers are kept up.
- Maintain office supplies; order new supplies as needed.
- Maintain office snacks and refreshments; order items on weekly basis within budget provided.
- Lead office Fun Committee initiatives. Oversee planning and execution of office social events including catering, transportation and payment details.
- General office service duties assigned, including occasional local errands.
- Mail collection & distribution - Pick up, sort and deliver incoming and outgoing mail and courier packages.
- Administer expense reports. Coordinate all building maintenance.
- Oversee Office Catering.
- Aid departments with various administrative tasks as needed.
- Parking validation/management.
- Work closely with Facilities -- parking, access card management, etc.
- Responsible for ordering business cards.
- Maintain office files.
- Aid in the development and usage of all SOP documents required for the team.
Candidate Profile
- Broad knowledge of operational procedures and tools through extensive work experience.
- May require vocational or technical education or entry-level professional with associates or bachelor's degree.
- Works under limited supervision for routine situations.
- Provides assistance and training to lower-level employees.
- Excellent communication and interpersonal skills.
- Excellent organizational, follow-through, and workload-planning skills.
- Resourceful, highly organized, client-focused.
- Superior typing skills and careful attention to detail.
- Proficient in Microsoft Office Suite.
- Ability to maintain confidentiality and handle sensitive documents.
Required Work Experience and Education/Certification
- High school diploma or vocational/technical education.
- 3-5 years of experience in a similar role.
Physical Demands
- Ability to sit for long periods.
- Work on a computer with repetitive motions.
- Utilize devices typically found in an office environment.
- Ability to safely lift up to 50 pounds at a time using safe lifting techniques.
- Able to communicate effectively with others.
- Regular and predictable attendance is required.
