About the Role

This role will support the HR team by performing a variety of administrative tasks, ensuring the smooth operation of the office, and contributing to the overall efficiency of the department. Key responsibilities include greeting and welcoming visitors, managing office mailings, maintaining reception areas, overseeing office social events, and assisting with various administrative tasks as needed.

Responsibilities

  • Greet and welcome visitors.
  • Receive and transfer incoming calls professionally.
  • Coordinate office mailings, monitor/track packages, and manage shipments.
  • Maintain reception area/boardrooms in a tidy and presentable manner.
  • Ensure the kitchens are tidy and dishwashers are maintained.
  • Maintain office supplies; order new supplies as needed.
  • Manage office snacks and refreshments; order items within budget.
  • Lead office Fun Committee initiatives.
  • Oversee planning and execution of office social events, including catering, transportation, and payment details.
  • Administer expense reports.
  • Cooking and serving office meals.
  • Coordinate all building maintenance.
  • Oversee office catering.
  • Absorb and assist with various administrative tasks as needed.
  • Manage parking validation and access card management.
  • Order business cards.
  • Maintain office files.
  • Develop and implement SOP documents.

Requirements

  • Broad knowledge of operational procedures and tools through extensive work experience.
  • High school diploma or vocational/technical education.
  • 3-5 years of experience in a similar role.
  • Ability to safely lift up to 50 pounds using safe lifting techniques.
  • Effective communication and interpersonal skills.
  • Excellent organizational, follow-through, and workload planning skills.
  • Resourcefulness, high organization, client focus, superior typing skills, and attention to detail.
  • Proficiency in Microsoft Office Suite.

Qualifications

  • Associates or bachelor's degree.
  • Ability to work independently and under limited supervision.
  • Ability to communicate effectively and handle sensitive information confidentially.
