About the role

This role is located at the Wilmington Clinic and involves in-person work Monday through Friday from 7:30am through 3:30pm.

Essential Job Functions

  • Schedule and manage daily clinic operations, including processing cancellations and coordinating coverage.
  • Maintain and update appointment records in Scheduling Software and monitor schedule adherence.
  • Communicate schedule changes to caregivers and staff professionally.
  • Welcome visitors and families, coordinate drop-off and pick-up activities, and ensure client safety.
  • Answer phones, direct calls, and take detailed messages.
  • Maintain clinic cleanliness and organize supplies, and prepare therapy materials for in-home clinicians.
  • Support onboarding of new hires and assist with staff appreciation initiatives.

Qualifications

  • High school diploma or equivalent.
  • 1–3 years of administrative or customer service experience.
  • Experience in healthcare scheduling, preferably in ABA therapy or behavioral health.
  • Clear and professional communication skills, proficiency in Microsoft Office and Google Suite, and experience with scheduling software and EHR/EMR systems.
  • Strong organizational skills and ability to work independently and in a team environment.
  • Excellent problem-solving abilities and adaptability in a fast-paced environment.
  • Familiarity with ABA therapy terminology and scheduling nuances.
  • Bilingual skills preferred but not required.
