About the role

As the Office Administrator CBU (Civil Business Unit), you will be on-site in Morgan City, LA, responsible for front desk and general office duties, assisting with invoice coordination, business expense processing, and supporting administration and management staff in various states while cultivating positive business relationships.

Responsibilities

  • Prepare and process all expense reports, per diems, reimbursements, and personal mileage reports.
  • Assist with the flow of the OnBase invoice system.
  • Maintain the organization of various files and project documents.
  • Reconcile vendor statements and expense statements.
  • Assist with tracking contracts, purchase orders, and subcontracts with the administration team.
  • Provide front desk support: greet visitors, answer and direct incoming calls, and take messages.
  • Perform general office duties, including making copies, scanning documents, and mailing.
  • Order and organize office supplies.
  • Open, sort, distribute incoming mail, and prepare outgoing mail with correct postage.
  • Work in a constant state of alertness and in a safe manner.
  • Perform other duties as assigned.

Qualifications

  • High School Diploma or equivalent required.
  • Valid state driver’s license and ability to operate a vehicle under the Company’s Driving Policy.
  • Ability to pass drug, driving, and background screenings.

Preferred Qualifications

  • Previous office administration experience.
  • Administration, construction, and marine experience.

Skills

  • Knowledge of basic administrative skills and ability to perform related tasks.

  • Strong project management and organizational skills.
  • Ability to manage time effectively.
  • Excellent oral and written communication skills, and ability to multi-task.

  • Proficiency in Microsoft Office Suite and ability to learn new applications.
  • Ability to learn and understand the Company’s Standard Operating Procedures (SOPs).
  • Basic math skills: addition, subtraction, division, multiplication, and finding percentages.
  • Ability to work ethically with customers, vendors, and co-workers.
  • High level of accuracy and resourcefulness in assisting management and co-workers.
  • Ability to read and interpret documents such as safety rules, operating instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to maintain a professional appearance.
  • Ability to safely and efficiently operate a motor vehicle.
  • Ability to work in a Native Corporation multi-business environment.

Working Environment

The work environment is fast-paced and multi-tasking, requiring efficient and effective performance. At times, work is performed outside of the office at indoor and outdoor job sites. Adaptability regarding schedule and design changes, as well as occasional overtime for immediate field support or bid processing, may be necessary.
