About the role
Our Birmingham, AL office is currently seeking an Office Administrator to support our local team. This role is a critical part of our branch office functionality and oversees various daily tasks and communication to keep our business running smoothly. The work is on-site (5 days).
Responsibilities
- Answer and direct all incoming calls in a courteous and timely manner.
- Be present at the front desk area to greet visitors to the facility and contact the appropriate office personnel for a visit.
- Responsible for filing various documents for one or more departments.
- Process invoices to be mailed and file copies.
- Compose and type memos, letters, and other routine correspondence.
- Transcribe written notes on a computer, or transcribe from voice recordings or memo form.
- Review correspondence for correct grammar and punctuation.
- Arrange travel schedules and reservations.
- Make copies of correspondence or other printed materials.
- Consolidate reference information by collecting, organizing, and assembling data for reports, presentations, and/or special projects.
- Organize meetings by making arrangements and distributing related materials.
- Maintain office supplies and monitor inventory.
- Distribute incoming and inter-office mail.
- Maintain current proof of auto insurance records for all associates.
- Perform other duties as necessary.
- Flexibility to work overtime/weekends, as required.
- Consult and support administrative assistants in other offices as needed.
- Prepare packages for UPS pickup: packing, weighing, and creating shipping labels.
- Sign for incoming deliveries.
- Custodian of all mail activity, incoming and outgoing. Maintain postage supplies, prepare and distribute mail.
- Coordinate front door security system.
- Coordinate all Engineering Seminars, All Associates Meetings, Biometric Screening/Flu shot clinic, and other in-office meetings and events per the Marketing-provided checklist.
- Copy machines: fill twice daily with copy paper, order and maintain toners and various parts for the machines, and order supplies as needed. Contact Xerox service for repair issues.
- Distribute faxes and printed documents to office personnel.
- Other tasks as needed.
Requirements
- High School Diploma or equivalent required.
- A minimum of 2+ years of Office Management or Administrative Assistant experience in a corporate environment is preferred.
- Demonstrated track record of interacting with all levels of management, staff, and outside contacts in a courteous, professional, and discreet manner.
- Outstanding written and verbal communication skills, including the ability to engage and communicate with all levels of the organization.
- High level of proficiency with Microsoft applications, including Excel, Word, and PowerPoint.
- Must be able to work independently, prioritize work, and handle simultaneous assignments with success and accuracy.
- Must possess the highest level of professionalism as well as confidence, confidentiality, integrity, and motivation.
- Ability to work effectively and accurately under pressure with tight time frames.
- A high level of motivation and initiative, follow-through, and the ability to communicate clearly both written and verbally.
Pay
Annual Base Salary Range: $54,751.66 - $76,929.99 (hourly, non-commission, non-incentive).
